Refund and Cancellation Policy

The short version

Cancel any time. Fees already charged are not refunded.

You can cancel a paid plan whenever you like, in seconds, with no notice period and no fee. You keep everything you paid for until the end of the interval you already paid for, and you are never charged again after that.

What we do not do is return money for a period that has already started. Except where mandatory consumer law says otherwise - and it sometimes does, see Section 05 - fees are non-refundable, including for a part-used interval, unused allowance, and applications that did not produce a reply.

The rest of this page explains why, exactly what happens when you cancel, and answers the specific situations people write to us about. It is deliberately blunt. You should know all of this before you pay, not after.

Why a paid interval is not returnable

AI Applyd is not a product that sits on a shelf until you use it. From the moment a plan starts, it spends real money on your behalf: AI models rewriting your resume for a specific role, cloud browser sessions opening employer forms, submissions being filled and sent, an inbox watching for replies. That cost is incurred at the moment the work runs, and it is incurred whether or not that particular employer ever writes back.

So what a plan buys is access and processing capacity, not outcomes. That is set out precisely in Section 04 of our Terms, and it is the reason this policy reads the way it does. We would rather tell you that plainly on the pricing page than take your money and argue about it later.

How cancellation works

  • Where. Billing settings in your dashboard, or the cancellation page linked in our site footer, which works without signing in.
  • What we ask. One question - why you are leaving - and an offer of support if something is broken. You can decline it and continue. Nothing else stands between you and the cancel button.
  • When it takes effect. At the end of the billing interval you have already paid for. Your plan does not stop mid-interval and your access is not cut short.
  • What you keep. Everything in your plan until that date, including your remaining allowance, your documents, and your application history.
  • What happens after. No further charges. Your account reverts to the free tier; your data stays until you delete it. Your relay email address keeps running so recruiter replies always have somewhere to land.
  • Confirmation. We email you a confirmation with the exact date access ends. Keep it.

There is no phone call, no email you have to send, and no waiting on anyone at our end. You do it yourself, and it is done the moment you confirm.

What we do instead of refunding

A refund fixes a customer for one month and fixes the product for nobody. So the money goes into prevention, and when something goes wrong you get all of these instead:

  • We fix the cause. Write to support and tell us what broke. A real defect gets repaired, usually within days, for you and for everyone else on it.
  • We do not charge you for work we did not do. Where we hold part of your allowance for a job that then turns out to be closed, withdrawn, or blocked before any AI or browser work runs, that hold is released straight back to your balance automatically. That is bookkeeping, not a refund, and it needs no request from you.
  • We show you what happened. Every application has a timeline: what we filled in, when we submitted, the screenshots before and after, and the employer confirmation if one arrived. You are never asked to take our word for it.
  • You keep control of the spend. Cancel any time and no further charge is ever made. There is no minimum term, no annual lock-in, and no cancellation fee.

Your statutory rights, which this policy does not touch

Nothing here removes a right the law gives you and does not let us remove.

EU and UK consumers: the 14-day withdrawal right

If you are a consumer resident in the EU or the UK, you have a 14-day right of withdrawal on a distance contract. Because AI Applyd starts working for you immediately, at checkout you expressly ask us to begin during those 14 days and acknowledge what that means: if you then withdraw, you pay a proportionate amount for the part of the service already supplied, and only the unsupplied remainder is returned; and for a one-off digital purchase delivered at once, such as a token pack, the right ends when delivery begins. The full wording, and how to exercise the right, is in Section 10 of our Terms.

Faulty service

If the Service is genuinely not in the condition we agreed - not merely that an employer did not reply - you have statutory conformity rights, and we will supply a fix. Where the law then gives you a further remedy, you keep it. Tell us first: we cannot repair a fault nobody has reported.

Billing errors

A billing error is not a refund question. If our payment processor charges you twice for the same interval, or charges you after a cancellation had already taken effect, that is a mistake on our side and we correct it. Send us the charge date and the last four digits and we will sort it out.

What is never a refundable event

Named plainly, so nobody has to guess and nobody can claim they were not told. None of the following is a fault in the Service:

  • You did not like what the AI produced. Style, tone, wording, accuracy, relevance, a model that ignored an instruction or invented something - all of it is the ordinary variance of generative AI, disclosed before purchase, and none of it returns money.
  • Nobody replied. An employer who ignores you, or rejects you, is exercising their own judgement. That is the outcome the product exists to pursue. It is never the outcome it promises.
  • Some applications failed. Employer sites block automation, demand accounts, close jobs mid-flight and change their forms without warning. All of that is disclosed in Section 04 of the Terms before you pay, and a failed attempt still consumed the AI and browser work it ran.
  • You used the allowance. Tokens deducted are deemed used, including where the output disappointed you. Once more than 10% of a period allowance is gone, that period counts as supplied.
  • You did not use the allowance. It was there for you the whole time.
  • It did not do something it never claimed to do. Check Section 04 of the Terms for exactly what a plan includes.
  • Your device, your connection, your email provider, or a change made by an employer or their applicant tracking system.
  • We closed the account for a breach of the Terms.

The delivery point

The moment we submit your first application, or generate and hand you a tailored resume, cover letter, match report or interview document, we have supplied something that cannot be taken back. An employer cannot un-receive an application; a document cannot be un-read. That moment is defined in the Terms as a Delivery Event, and from it the digital content supplied is delivered and paid for. Your rights over what has not yet been supplied are untouched.

How a billing complaint is handled

  • You write. Support, with your account email and the date of the charge. Describe what happened.
  • We acknowledge within 3 business days. A person, not an autoresponder. We may ask you for specifics.
  • We decide within 7 business days of having what we need, and we put the decision in writing so you have it.

That is the process, and it is the step that has to happen before any other. It exists because almost every billing complaint is a renewal date or an allowance question that we can settle in a day, and because a real answer in writing is worth more to both of us than a month of arguing through a bank.

The specific situations people ask about

It renewed and I meant to cancel

Renewal dates are shown in your billing settings and disclosed at checkout, and we email before a card is charged where your plan requires it. A renewal that has been charged is not refunded. Cancel now and you keep access for the interval you just paid for and are never charged again.

I did not use it

Access, matching, and your allowance were available to you for the whole period. Non-use is not a fault in the Service, and the interval is not refunded.

Applications failed, or no employer replied

Both are expected outcomes of applying through other people systems, and both are disclosed before purchase in Section 04 of the Terms. Employers close jobs, block automation, require accounts, and ignore candidates - none of which is something a software product can promise away. A failed attempt still consumed the AI and browser work it ran. This is not a refundable event. It is, however, exactly the kind of thing we want reported, because a pattern of failures on one platform is a bug we can fix.

I bought the wrong plan

Switch it. Upgrades and downgrades are available any time from billing settings and our payment processor prorates the difference, so you pay only the difference. That is faster than any refund would have been.

I was charged after cancelling

That should not happen and, if it did, see billing errors in Section 05. Send us the date and we will check the record.

Before you contact your bank

Please write to us first, at support@aiapplyd.com, and give us seven days. We read every message and almost every billing question turns out to be a renewal date or a plan allowance that we can explain in a day.

If you open a chargeback instead, we will respond to it with the records showing the Service was supplied: when you accepted these terms, your sign-in history, every application prepared and submitted for you with its timestamps and screenshots, the documents generated for you, and the usage ledger. That is set out in Section 12 of our Terms, and it is not a threat - it is simply what a dispute response consists of. Opening one without writing to us first is a breach of the Terms, and it can cost you the account, any remaining allowance, and the costs of the dispute itself. Talking to us is faster for both of us, and your statutory rights and your right to complain to your payment provider or a regulator are unaffected either way.
