About the role

Summary: performs confidential clerical and administrative work in a manner that will assist in the attainment of the goals and objectives of North Shore Community Support Services, Inc. and programs related to its operations; in accordance with accepted procedures and Board of Directors policies. The Office Administrator/Assistant will closely work with and provide administrative support to the Executive Director and undertake a range of functions to make sure the administration activities within the organization run smoothly.

Duties: 1. Receive, process and circulate mail and faxes; 2. Manage phones, screen and route calls as necessary; 3. Organize and maintain files in an accurate and efficient fashion; 4. Perform all secretarial duties including typing, preparing agendas for meetings, directives, confidential reports and grant proposals; 5. Arrange appointments and schedule meetings; 6. Complete required forms/spreadsheets and submit them on time; 7. Prepare bank deposits and physically make the deposits; 8. Prepare statistical reports as required; 9. Upkeep of the membership files/databases (corporate and client); 10. Maintain management information systems (manual or computerized); 11. Oversee and manage the day to day operations of the computer systems and peripherals, including the regular updates of operating systems and IT security; 12. Updating and maintain website and online information networks; 13. Complete and maintain personnel forms; 14. Take minutes at meetings as required; 15. Ensure the safe and adequate operation of all office equipment and support staff, volunteers and clients in their use; 16. Account for all office supplies and manage stocks; 17. Investigate and recommend new equipment systems for office environment; 18. Develop, as needed, an understanding and ability to work with any computer software package in use in the office;19. Communicate effectively with executive director, board members, program staff, members, clients, volunteers and the public; 20. Supervise administrative volunteers and students; 21. Assisting in project development and fundraising; 22. Attend meetings as required; 23. Assisting in the planning and development of a NSCSS AGMs and meetings; 24. Maintain professional competence by attending appropriate continuing education, telephone conferences, virtual means, in person workshops, seminars and by individual study; 25. Designs, coordinates, and conducts quality control audits within CRMS (ClientData software), including the preparation of monthly reports as required. Analyzes audit results and provides information to the Executive Director and staff for training and compliance. Develops and implements action plan (training sessions) to fix discrepancies discovered during audits in the data base including recommending global fixes to the software provider and program staff; Other duties as assigned, which could include, but is not limited to visual editing, resolving edit errors, running edit reports; 26. Perform related duties as required by North Shore Community Support Services, Inc. as directed by the Executive Director.

Exceptional organizational and filing skills; 5. A demonstrated ability to work effectively, both independently and as part of a team, in a demanding work environment that experiences frequent pressure; 6. Ability to multi-task; 7. Strong knowledge of office procedures and practices; 8. High level of critical and logical thinking, analysis, and/or reasoning to identify underlying principles, reasons, or fact; 9. Possess professional phone skills; 10. Excellent computer skills and knowledge of computer networks; 11. Experience with Windows 11, Microsoft Office 365 and its components, and internet tools and social media; 12. Experience working with a progressive non-profit organization is an asset; 13. Share a commitment to the NSCSS’s purpose, Mission and Vision and to our community; 14. Quick study and willing to learn new things.

Qualifications:1. Excellent verbal, writing, arithmetic, organizational and interpersonal skills; 2. A working knowledge of mental health and mental illness issues; 3. Versed in effective organizational skills; 4. Go-get-‘em attitude; 5. A 2 year community college diploma or equivalent work experience in office management/administration; 6. Valid Criminal Records Check and Vulnerable Sector Screening; 7. A working knowledge of French is an asset;1. Maintain strict confidentiality;2. Be honest and trustworthy; 3. Be respectful; 4. Be friendly and positive; 5. Possess cultural awareness and sensitivity; 6. Be flexible and willing to learn; 7. Demonstrate sound work ethics; 8. Be loyal, fair and accountable; 9. Be attentive and non-judgmental; 10.. Have a GOOD sense of humour.
