The Recruitment Administrator plays a critical role in supporting the recruitment and onboarding function by providing efficient, accurate, and professional administrative support throughout the employee lifecycle.

Working closely with the Recruitment Manager, Recruitment Team, and wider HR Department, the post holder will help ensure a seamless recruitment and onboarding experience for candidates, hiring managers, and new employees while maintaining the highest standards of compliance, confidentiality, and customer service.

Key Responsibilities and Deliverables

Recruitment Administration

Coordinate and administer all aspects of the recruitment process from job approval through to onboarding.

Maintain accurate candidate and recruitment records using HR and recruitment systems.

Process recruitment documentation, ensuring all required information is completed and maintained in accordance with Hospital procedures.

Prepare and distribute contracts of employment, offer letters, and other recruitment-related documentation.

Support the Recruitment Team in the scheduling and coordination of interviews.

Generate recruitment, payroll, and ad hoc reports as required.

Onboarding and Compliance

Provide a high-quality onboarding service to ensure a positive new employee experience.

Coordinate pre-employment compliance processes, including:

Garda Vetting

Reference checks

Occupational Health clearances

Work Permit applications

Professional registration verification

Qualification verification

Maintain accurate records of professional licences, registrations, and qualifications for all employees where required.

Ensure all onboarding documentation is completed and received in a timely manner.

Assist in maintaining compliance with employment legislation, hospital policies, and regulatory requirements.

Stakeholder Support

Act as the first point of contact for recruitment-related queries from candidates, employees, hiring managers, and external agencies.

Provide a professional and courteous service to all stakeholders.

Welcome visitors and employees to the Recruitment Office and assist with enquiries.

Escalate issues and enquiries to the appropriate member of the Recruitment Team where required.

Provide administrative support for recruitment campaigns, career fairs, open days, and other recruitment events.

Systems, Reporting and Records Management

Maintain recruitment and HR databases, ensuring data accuracy and integrity.

Support the administration of HR systems and employee records.

Produce routine and ad hoc reports as required by the HR Department.

Assist with personnel file maintenance and document management activities.

Ensure the highest levels of confidentiality are maintained at all times.

Team Support and Continuous Improvement

Work collaboratively with the Recruitment Team and wider HR Department to ensure effective service delivery.

Identify opportunities to improve recruitment administration processes and efficiencies.

Support HR projects and initiatives as required.

Demonstrate behaviours consistent with Beacon Hospital's values and culture.

Provide cross-cover and support for colleagues as required.

Person Specification

Experience

Essential

Minimum of 2 years' experience in an HR, recruitment, or administrative role.

Experience working with HR or recruitment systems.

Strong administrative experience with excellent attention to detail.

Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.

Demonstrated ability to manage multiple tasks and priorities in a busy environment.

Desirable

Previous experience within a healthcare or hospital environment.

Qualification in Human Resource Management, Business Administration, or a related discipline.

CIPD qualification or working towards CIPD accreditation.

Knowledge of recruitment processes and employment legislation.
