About the role

Key ResponsibilitiesHuman Resources Operations

Manage the full spectrum of HR functions, including employee records, HR administration, and HRIS maintenance.

Review, implement, and continuously improve HR policies, procedures, and processes.

Prepare HR reports, dashboards, and management reports on a monthly and ad hoc basis.

Prepare HR letters and official correspondence, including employment-related documentation.

Ensure strict confidentiality of all employee and company information.

Payroll & Statutory Compliance

Oversee and manage payroll processing, ensuring accuracy and timely salary payments.

Handle Singapore payroll, including Work Pass (WP), S Pass, Employment Pass (EP), and income tax matters.

Liaise with Finance and government authorities (KWSP, PERKESO, LHDN, etc.) on payroll and statutory compliance.

Investigate and resolve payroll discrepancies while maintaining accurate payroll records.

Ensure full compliance with company policies and employment regulations.

Employee Relations & Performance

Manage employee disciplinary matters, including counselling, show cause letters, warning letters, and termination processes.

Coordinate employee welfare and engagement initiatives, including Group Insurance administration.

Provide HR advisory support to employees and management on employment-related matters.

Compliance & Quality Management

Support internal and external audits by maintaining accurate HR documentation and ISO compliance.

Coordinate with ISO personnel to ensure departmental job descriptions remain updated.

Ensure HR documentation complies with company and regulatory standards.

Leadership & Administration

Lead, coach, and mentor HR & Administration team members through effective work planning, delegation, and performance reviews.

Oversee HR and administrative activities assigned by the Head of Department.

Support continuous improvement initiatives and special projects as assigned by Management.

Requirements

Bachelor's Degree in Human Resource Management, Business Administration, or a related discipline.

Minimum 5 years of experience managing the full spectrum of HR functions.

Strong knowledge of Malaysian Employment Act, Singapore employment practices, labour laws, and statutory requirements.

Experience handling payroll and statutory submissions.

Familiar with Singapore payroll, Work Pass (WP), S Pass, Employment Pass (EP), and income tax administration is highly preferred.

Strong leadership, coaching, and people management skills.

Excellent analytical, problem-solving, and organizational abilities.

Strong interpersonal and communication skills.

Proficient in Microsoft Excel and PowerPoint.

High level of integrity with the ability to handle confidential information.

Key Performance Indicators (KPIs)

Payroll accuracy maintained at 95% or above (less than 5% payroll errors).

Zero non-conformities (NA) during internal and external audits.

Statutory penalties or compounds maintained below 3–5 cases annually.

Timely submission of payroll, statutory reports, and HR documentation.

Key Authority

Full ownership of Singapore payroll processing.

Manage Singapore employee income tax matters.

Process Work Pass (WP), S Pass, and Employment Pass (EP) applications.

Lead HR documentation for ISO audits.

Oversee HR and administrative functions delegated by the Head of Department.
