The Role
The Project Management Coordinator keeps the project management office running smoothly - supporting Project Managers with documentation, coordination, and administrative follow-through so nothing slips through the cracks between meetings, approvals, and deliverables. You're the connective tissue between departments, making sure information flows where it needs to go, on time.
Key Responsibilities
Project Support
Support Project Managers in day-to-day project administration and coordination
Maintain organized project files, correspondence logs, and documentation registers
Track action items from meetings and follow up to ensure timely closure
Assist in preparing project reports, presentations, and status updates for management and clients
Documentation & Reporting
Maintain document control processes - transmittals, submittals, RFIs, and correspondence tracking
Prepare meeting minutes and distribute action items to relevant stakeholders
Compile weekly/monthly project status reports from inputs across planning, QC, and site teams
Maintain an updated project tracker covering key milestones, risks, and pending approvals
Coordination
Act as a communication link between project management, site teams, procurement, and subcontractors
Coordinate scheduling of meetings, site visits, and inspections between internal teams and external stakeholders
Follow up with departments to ensure deliverables are submitted on schedule
Support onboarding coordination for new subcontractors and vendors on assigned projects
Administrative Support
Assist with procurement documentation, purchase requests, and vendor correspondence as needed
Support contract administration tasks - filing, tracking key dates, and maintaining contract registers
Maintain organized digital and physical records for audit and reference purposes
Provide general administrative support to the project management team as required
What You Bring
Bachelor's degree in Civil Engineering, Business Administration, or a related field
2–5 years of experience in a project coordination, documentation, or administrative support role within construction or EPC projects
Strong organizational skills - comfortable managing multiple moving parts without losing track
Proficient in MS Office (Excel, Word, PowerPoint); familiarity with document control systems (Aconex, or similar) is a plus
Clear written and verbal communication skills
A Plus
Prior experience specifically in construction, steel structure, or industrial project environments
Familiarity with Primavera P6 or MS Project (even at a basic reporting level)
Experience in Saudi Arabia
