About the role

We are looking for an experienced Planning & Coordination Engineer to support the planning, scheduling, monitoring, and coordination of project activities from engineering and procurement through fabrication, delivery, installation, and project completion.

The position will act as a key coordination point between Project Management, Engineering, Procurement, Fabrication, Site, QA/QC, Commercial, and subcontractors, ensuring that project activities are properly planned, communicated, monitored, and completed according to the approved schedule.

The ideal candidate should have strong knowledge of Primavera P6, project scheduling, progress monitoring, look-ahead planning, coordination, reporting, resource planning, and schedule control. Experience in steel fabrication, structural steel, PEB, industrial, EPC, or Oil & Gas projects will be highly preferred.

Key Responsibilities1. Project Planning & Scheduling

Develop and maintain detailed project schedules using Primavera P6.

Prepare project schedules based on approved scope, contractual requirements, and project execution plans.

Develop project WBS, activities, relationships, milestones, and calendars.

Prepare Level 1, Level 2, and Level 3 schedules as required.

Establish and maintain the approved baseline programme.

Develop detailed schedules covering:

Engineering

Procurement

Material delivery

Fabrication

Inspection

Painting

Dispatch

Site installation

Testing

Completion

Update schedules regularly based on actual project progress.

Monitor planned versus actual progress and identify deviations.

2. Project Coordination

Coordinate project activities between Engineering, Procurement, Fabrication, Site, QA/QC, Commercial, and Project Management teams.

Ensure that each department understands upcoming activities, deadlines, and project priorities.

Follow up with responsible departments regarding pending activities and deliverables.

Coordinate information flow between office, workshop, and site teams.

Identify coordination issues that may affect project progress.

Escalate critical delays and unresolved issues to the Project Manager.

Maintain effective communication between internal teams and subcontractors.

Participate in coordination meetings and prepare action points.

Follow up on outstanding actions until closure.

3. Engineering Coordination

Coordinate with Engineering regarding drawings, technical submissions, design deliverables, and approvals.

Monitor engineering deliverables against the project schedule.

Track:

Shop drawings

Fabrication drawings

IFC drawings

Material submittals

Technical submissions

Design approvals

Engineering revisions

Identify engineering delays that may affect fabrication or site activities.

Coordinate with Engineering to prioritize drawings based on fabrication and site requirements.

4. Procurement & Material Coordination

Coordinate with Procurement regarding material requirements and delivery schedules.

Monitor procurement activities against project requirements.

Track purchase orders, material approvals, manufacturing, inspection, and delivery.

Identify critical and long-lead materials.

Coordinate material availability with fabrication and site requirements.

Follow up on delayed materials and communicate their impact on the project schedule.

Maintain procurement and material tracking reports.

5. Fabrication Coordination

For steel and metal fabrication projects:

Coordinate planned fabrication activities with the production/workshop team.

Monitor fabrication schedules against project requirements.

Coordinate material availability with production planning.

Track cutting, fabrication, welding, assembly, blasting, painting, inspection, and dispatch activities.

Monitor fabrication progress and identify bottlenecks.

Coordinate inspection requirements with the QA/QC department.

Coordinate dispatch schedules with site requirements.

Ensure fabrication priorities are aligned with the overall project schedule.

6. Site Coordination

Coordinate with Site Engineers and Construction teams regarding planned activities.

Monitor site installation and erection progress.

Prepare and follow up on short-term and look-ahead schedules.

Identify site constraints affecting project progress.

Coordinate manpower, materials, equipment, drawings, and inspections required for upcoming activities.

Follow up on site requirements with relevant departments.

Monitor planned versus actual site progress.

Coordinate recovery actions when activities fall behind schedule.

7. Look-Ahead Planning

Prepare weekly and monthly look-ahead schedules.

Prepare 2-week, 3-week, and 4-week look-ahead plans where required.

Identify upcoming activities and required resources.

Coordinate with relevant departments to confirm readiness.

Highlight constraints before activities start.

Track completion of look-ahead activities.

Report incomplete activities and reasons for delay.

Ensure short-term plans remain aligned with the master project schedule.

8. Progress Monitoring

Collect progress updates from Engineering, Procurement, Fabrication, and Site teams.

Measure actual physical progress against planned progress.

Update project schedules with actual progress.

Monitor planned versus actual quantities and activities.

Identify schedule variances.

Track project milestones and forecast completion dates.

Prepare progress summaries for management.

Highlight critical activities requiring immediate attention.

9. Project Reporting

Prepare and maintain:

Daily Progress Reports (DPR)

Weekly Progress Reports (WPR)

Monthly Progress Reports (MPR)

Weekly Look-Ahead Schedules

Project Schedule Updates

Progress Tracking Reports

S-Curves

Manpower Histograms

KPI Reports

Project Dashboards

Procurement Tracking Reports

Material Tracking Reports

Fabrication Progress Reports

Site Progress Reports

Schedule Variance Reports

Recovery Programme

Reports should clearly identify:

Planned progress

Actual progress

Variance

Delayed activities

Critical activities

Upcoming activities

Project constraints

Required actions

Forecast completion

10. Critical Path & Schedule Control

Monitor the project critical path and near-critical activities.

Identify activities that could affect project completion.

Monitor float and schedule constraints.

Analyze the impact of delays on project milestones.

Coordinate corrective actions with responsible departments.

Support preparation of recovery schedules.

Monitor recovery progress.

Provide early warning of potential schedule delays.

11. Resource Coordination

Coordinate manpower requirements with project and site teams.

Monitor planned versus actual manpower.

Support manpower planning and resource forecasting.

Coordinate equipment requirements.

Monitor resource availability against planned activities.

Identify resource shortages that may affect project progress.

Support preparation of manpower histograms and resource-loading schedules.

12. Meetings & Follow-Up

Attend internal project coordination meetings.

Attend weekly progress meetings when required.

Prepare planning-related presentations and reports.

Record meeting action points.

Assign actions to responsible departments.

Follow up on action items and monitor closure.

Communicate important schedule changes to relevant stakeholders.

13. Delay & Recovery Coordination

Identify delays at an early stage.

Coordinate with responsible departments to determine the cause of delays.

Assess the potential impact on project milestones.

Support development of recovery plans.

Monitor recovery activities.

Coordinate additional manpower, resources, or revised sequencing where required.

Maintain records of delay events and corrective actions.

Support the Project Manager in schedule-related discussions with clients and consultants.

Requirements

Bachelor's degree in Civil Engineering, Mechanical Engineering, Construction Engineering, Project Management, or a related field.

2–7 years of relevant experience in project planning, scheduling, and coordination.

Strong practical experience with Primavera P6.

Experience in construction, steel fabrication, industrial, EPC, or Oil & Gas projects.

Strong understanding of project execution and construction sequences.

Experience coordinating multiple departments.

Good knowledge of project progress monitoring and reporting.

Experience preparing look-ahead schedules and project reports.

Knowledge of critical path and schedule control.

Strong Microsoft Excel skills.

Good communication and follow-up skills.
