The Asian American Drug Abuse Program (AADAP) is a 501(c)(3) non-profit organization dedicated to serving Asian Pacific Islanders and other underserved communities with substance abuse services throughout Los Angeles County. Programs and services are provided to all individuals regardless of race or ethnicity.
Department Overview
The Fiscal department oversees AADAP's financial operations and supports the agency's programs through accurate accounting, financial reporting, contract oversight, budgeting, compliance, and fiscal management. The department works closely with program leadership and management to ensure responsible stewardship of agency and contract funds.
Position Summary
The Accountant II reports to the Fiscal Director and is responsible for the accounting functions of assigned contracted cost centers to ensure sound accounting practices that support AADAP's mission in the community. The position provides fiscal oversight and support to Managers responsible for assigned contracts and contributes to problem-solving and operational improvements within the Fiscal Office and Management Team. The Accountant II must be able to work independently as a full-service accountant while ensuring compliance with generally accepted accounting principles (GAAP).
Essential Job Functions & ResponsibilitiesContract & Fund Accounting
Review and reconcile receivables for assigned contracts, including preparation of monthly billing and utilization reports.
Review check requests, credit card charges, and other expenditures to ensure appropriate allocation and accuracy.
Review accounting entries for accuracy and proper allocation to contract cost centers.
Monitor, adjust, and record prepaid expenses, accrued expenses, and general journal entries for assigned contracts on a monthly basis.
Calculate and record indirect costs charged to assigned funds and contracts on a monthly basis.
Produce and review monthly revenue and expenditure reports to ensure financial activities and account balances are appropriate and accurate.
Prepare and post adjusting journal entries as necessary and in accordance with procedures for assigned contracts.
Review relevant program budgets and advise Managers to support accurate budget management.
Financial Reporting & Compliance
Prepare financial reports, including income statements and balance sheets, for audits and banking reporting.
Prepare journal entries related to investment accounts, prepaid expenses, interest and depreciation expenses, rental space leases, and mortgages.
Prepare cash reports and revenue and expenditure reports for Management and the Board.
Provide support related to agency cash flow needs.
Respond to agency-wide fiscal audits.
Conduct account analyses and prepare budget forecasts.
Advise Managers regarding GAAP and applicable contract fiscal policies.
Maintain organized and accurate fiscal records and supporting documentation.
Perform bank and cash reconciliations.
Assist with the agency's Cost Allocation Plan.
Fiscal Operations Support
Provide guidance regarding accounting policies and procedures.
Support the accounting team in reviewing and overseeing reports prepared for external reporting, including audits, banking, and grant receivables.
Assist with training new Fiscal department staff.
Perform other accounting-related duties as assigned.
Minimum Qualifications
Education: Bachelor's degree in Accounting, Finance, or a related field required.
Experience: Minimum of five (5) years of accounting experience.
Technical Skills: Proficiency with accounting software and Microsoft Excel.
Analytical Skills: Strong analytical, problem-solving, and organizational skills.
Communication: Strong written and verbal communication abilities.
Preferred Qualifications & Skills
Experience with nonprofit and fund accounting.
Knowledge of Financial Edge NXT accounting software.
Bilingual or bicultural capabilities with Asian/Pacific languages and cultural groups.
Valid driver's license, reliable vehicle, and appropriate automobile insurance preferred.
Knowledge, Skills, and Abilities (KSAs)
Strong knowledge of accounting principles, practices, and financial reporting.
Ability to independently manage assigned accounting responsibilities and meet established deadlines.
Strong analytical and problem-solving skills with high attention to accuracy and detail.
Ability to review financial transactions, identify discrepancies, and recommend appropriate solutions.
Strong organizational and time-management skills with the ability to manage multiple priorities.
Ability to interpret budgets, financial reports, and contract-related fiscal information.
Ability to establish and maintain positive, collaborative working relationships with Managers, Fiscal team members, agency staff, auditors, and external partners.
Strong written and verbal communication skills with the ability to communicate financial information clearly.
Proficiency with accounting software, spreadsheets, and other financial systems.
Special Requirements
Employment contingent upon successful background check clearance.
Permanent resident or U.S. Citizen; proof of work eligibility required upon hire.
Work Schedule, Location & Physical Demands
Schedule: Full-time, 40 hours per week; Monday–Friday, 9:00 a.m.–6:00 p.m.
Work Arrangement: In-person/on-site
Location: 2900 Crenshaw Blvd., Los Angeles, CA 90016
Travel: No regular travel required

Physical Requirements: Primarily office-based position requiring prolonged periods of sitting and regular computer use. Frequent reading, writing, typing, and verbal communication are required. Occasional standing, walking, bending, reaching, and lifting or carrying files, records, and file boxes may be required.
