Purchasing / Procurement Assistant

Job Responsibilities

Support the day-to-day purchasing and procurement operations.

Liaise with overseas suppliers on quotations, purchase orders, product enquiries, and delivery schedules.

Prepare, process, and maintain purchase orders, invoices, and other procurement-related documents.

Monitor and follow up on supplier deliveries to ensure timely receipt of goods and verify order quantities, quality, and specifications.

Maintain accurate records of purchase orders, supplier information, pricing, and product details.

Update product information, pricing, and inventory records in the Shopify or inventory management system.

Coordinate closely with the fulfilment and warehouse teams to ensure smooth receiving of goods.

Provide administrative and coordination support

Assist with data entry, filing, documentation, and report preparation.

Perform other ad hoc duties and projects as assigned.

Requirements

Minimum 1 year of experience in purchasing, procurement, merchandising, or administrative support.

Meticulous, detail-oriented, and highly organized with strong follow-up skills.

Proficient in Microsoft Office, particularly Excel and Word.

Good communication and interpersonal skills.

Ability to communicate in Mandarin is preferred to liaise with Mandarin-speaking suppliers and vendors.

Able to prioritize tasks, manage multiple responsibilities, and work effectively in a fast-paced environment.

Responsible, proactive, and willing to learn.

Positive attitude with the ability to work independently as well as collaboratively in a team.
