Overview
The role requires a highly organised and proactive individual to provide support as Executive Assistant to our Managing Director, manage the office and provide basic technical support to staff. This role is ideal for someone who enjoys multitasking, problem-solving, and ensuring the smooth and efficient functioning of the workplace, with a “can do” attitude.
Key Responsibilities
Office Administration Management
Serve as the primary point of contact for office operations and administrative support.
Coordinate office activities, supplies, and maintenance to ensure a clean, efficient, and well-functioning workspace.
Manage office inventory, vendor relationships, and service contracts (e.g., cleaning, IT, utilities, supplies).
Assist with scheduling meetings, booking conference rooms, and maintaining shared calendars.
Support onboarding processes for new employees, including workstation setup and orientation logistics.
Manage access cards for office access.
Organise company events, meetings, and team activities.
Basic Technical Support
Provide basic first-level technical assistance to employees (e.g., troubleshooting hardware, software, and printer issues).
Liaise with the IT department or external vendors regarding more complex technical problems.
Maintain office technology inventory and manage device setup, configuration, and updates.
Support staff with connectivity issues, such as Wi-Fi access or video conferencing tools.
Help ensure data security by encouraging adherence to company IT policies and best practices.
Administrative Support
Prepare and maintain records, reports, and correspondence as needed.
Assist with office expense reports, invoices, and procurement processes along with documentation and administrative tasks as needed.
Greet and assist visitors, answer phones, and manage general inquiries.
Qualifications
2+ years of experience in an administrative, office management, or IT support role.
Proficiency in Microsoft Office Suite and common workplace applications (e.g., Outlook, Teams).
Basic knowledge of computer systems, office hardware, and troubleshooting steps.
Strong communication, organisational, and multitasking skills.
Ability to always maintain confidentiality and professionalism.
Proactive, resourceful, and customer-service oriented.
Preferred Qualifications
Familiarity with ticketing systems or IT service management tools.
Background in coordinating facilities or vendor management.
Work Environment
Full-time, on-site.
