Job Summary:

The Logistics Coordinator is responsible for leading and optimizing the end-to-end flow of international orders, from sourcing and purchase through import/export, logistics and delivery to customers. This role ensures that global and local order management, logistics and customs policies are implemented effectively, while safeguarding compliance with COMEX, customs and export control regulations.

Acting as the central coordination point between factories, suppliers, freight forwarders, customs brokers, internal stakeholders and authorities, the coordinator oversees order status, demand planning, delivery schedules, inventory and invoicing for equipment, components, materials and spare parts. The role defines critical timelines within the value chain, monitors key performance indicators (KPIs) and drives continuous improvement in processes and systems to increase reliability, transparency and efficiency.

The coordinator manages supplier relationships and negotiations to secure optimal terms, quality and on-time delivery, while constantly assessing risks, market trends and supplier capabilities to ensure supply continuity. In addition, the role leads the implementation of corrective actions from audits and reviews, conducts trainings on customs and export control topics, and promotes adherence to company policies, legal requirements and ethical standards across the organization.

Job Responsibilities:

Ensures implementation of defined Order Management, global and local logistics policies and guidelines and decides adoption of processes if necessary.

Oversees order status, planning and forecasts of Order book including logistics, and/or production, deliveries and invoicing to customers of equipment, components, materials and spare parts and fulfilling the respective time schedules.

Decides and determines critical schedules for orders in the value chain in full alignment with local operations and customers stakeholders

Initiates, maintains, and improves systems to measure order operations performance and effectiveness of all planning deliveries.

Sets up and monitors KPI´s to improve performance of order management and cross collaboration with global Order management of each factory where we are sourcing parts, components, new equipment and materials. Same as local inventory in the warehouse.

Ensures effective cooperation with external parties, customs compliance brokers, freight forwarders local transportations and involved internal management (Global logistics, factories order management and Export Control).

Responds to critical inquiries, as an escalation point of contact.

Maintains, updates and communicates relevant information (regarding master data, delivery schedules, stock-and-order status and contract

information) from suppliers, procurement, and logistic service providers.

Analyzes operational logistic status, informs involved stakeholder adequately - and derives and implements alternative measures to adopt to changing situations.

Completes and communicates deficiency and status reports regarding material and product availability.

Documents and processes complaints or transport damages, in cooperation with other accountable stakeholders (PLM, Purchase, Insurance, Controlling, Quality, Engineering), - and proposes and implements remedial measures with transport service providers.

Collaborates with the authorities regarding customs approvals and clarifies general legal issues.

Monitors and ensures corrective actions derived from external and internal reviews and audits.

Carries out trainings and reviews to guarantee adherence to customs regulations.

Contributes to the implementation of Export Control regulations and ensures accurate and consistent distribution of relevant information throughout the internal organization.

Manages supplier relationships, negotiations, and agreements performance to secure the best terms, quality and timely delivery of sourced goods.

Maintains awareness of supplier opportunities, risks, vulnerabilities, and capabilities and ensures supply continuity.

Drives continuous improvement in sourcing processes and systems to enhance efficiency and effectiveness.

Ensures compliance with company, legal and ethical standards.

Analyzes market trends and supplier data to inform sourcing decisions, policies and risk management.

Required Knowledge/Skills, Education, and Experience:

Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, International Trade, or related field

5+ years of experience in logistics, order management, or supply chain, with direct exposure to import/export operations

Experience with customs compliance, export control regulations and interaction with government authorities

Background in supplier management, sourcing or international purchasing

Experience in using ERP systems (e.g., SAP, Oracle) and logistics/transport management tools

Proficiency in MS Office (Excel, PowerPoint) and data/reporting tools
