About the Role
NIE HR partners the Institute across the full range of its people’s decisions, from day-to-day operations through to workforce planning and capability building. How we work reflects that. We use AI and digital tools to take the effort out of routine work, sharpen our insights and raise the quality of advice we give to staff and stakeholders.
We are looking for an HR Executive who is comfortable working this way. You do not need a technical background. You do need good judgement, a bias for improving how things are done, and the discipline to verify what a tool gives you before it reaches a stakeholder.
Responsibilities
Assist in providing support for HR systems, including requirements gathering, user acceptance testing and post-implementation adoption.
Support the full spectrum of HR functions such as appointment, contract renewal, leave, benefits and exit.
Prepare HR reports and dashboards and help turn workforce data into clear observations that leaders can act on.
Use approved AI and digital tools to draft, summarise and analyse - for example, first-cut correspondence and FAQs, thematic analysis of exit interview and survey feedback, and drafting of process documentation - always with human review before release.
Review HR processes and procedures with an automation and simplification lens, and propose improvements where a workflow, template or tool would remove manual effort.
Manage queries and provide advice to stakeholders such as line managers and employees, using our knowledge base and tools to respond accurately and quickly.
Help maintain the quality of our HR knowledge base and templates so that our digital tools draw on current and correct information.
Apply data protection, confidentiality and responsible-use standards in all use of AI tools, including on the handling of personal and sensitive employee data.
Provide support in HR projects and initiatives.
Requirements
A Polytechnic Diploma, preferably in Business Studies with specialisation in Human Resource Management.
Preferably 2-3 years of relevant working experience in an HR role.
Familiar with the Employment Act, local immigration rules and work pass application procedures.
Meticulous, detail-oriented and comfortable working with numbers and data.
Strong digital skills, including high proficiency in Microsoft Office. Comfort with spreadsheets beyond basic use (lookups, pivot tables) will be an advantage.
Demonstrated practical use of AI tools in a work or study setting, with an understanding of their limits. You should be able to describe how you have used one, what you checked, and where you would not rely on it.
Sound judgement on confidentiality and data handling.
Able to take initiative, work independently and collaboratively in teams.
Good written and spoken communication skills.
Experience using Workday will be advantageous.
Interest in pursuing IHRP certification will be viewed favourably.
