What this opportunity involves:

The Assistant Property Manager plays a vital role in the comprehensive management of 215 Adelaide Street, a premium commercial office building with retail tenancies in Brisbane's CBD. In this role, you'll provide essential operational and administrative support to the Senior Property Manager, helping deliver exceptional service standards that maximize returns for our client, Challenger (with investment management by Charter Hall). Your day-to-day work will span financial administration, lease management, tenant relations, compliance coordination, and operational support—ensuring the building runs smoothly and efficiently. Working closely with the Facilities Manager and broader building team, you'll be empowered to take ownership of key administrative processes while building strong relationships with tenants, contractors, and stakeholders. An overview of the role:

Manage comprehensive financial administration including processing purchase orders, creditor invoices, tenant billing, rent collections, and outgoings recoveries with accuracy and efficiency

Maintain accurate lease registers and tenancy schedules in MRI system, ensuring all lease terms, critical dates, and tenancy information are current and accessible

Act as a key point of contact for tenant inquiries and requests, addressing concerns promptly and professionally while fostering strong relationships that support tenant satisfaction

Support budget preparation, monthly financial reporting, and performance analysis by collecting data, preparing reconciliations, and assisting with variance commentary

Conduct regular property inspections and coordinate with the Facilities Manager to ensure maintenance issues are resolved quickly and building presentation meets commercial office standards

Process monthly sales collections from retail tenants, analyze trading figures, and calculate percentage rent and miscellaneous charges in accordance with lease terms

Support compliance and safety programs by tracking statutory certifications, maintaining emergency procedures documentation, and managing incident reporting in accordance with JLL protocols

Coordinate capital works projects and tenant fit-outs, obtaining competitive quotes, tracking progress, and ensuring contractors meet insurance and prequalification requirements

Prepare comprehensive reports and correspondence for clients, keeping Challenger and Charter Hall informed of operational, financial, and tenancy matters with transparency and professionalism

Sounds like you? This is what we are looking for:

Minimum 2-4 years of commercial property management or administration experience, with demonstrated capability in financial administration and lease management

Proficiency in property management systems, with MRI experience essential for managing financial transactions, lease data, and reporting functions

Strong Microsoft Office skills, particularly Excel, for financial analysis, reporting, and data management

Exceptional attention to detail and organizational skills, with proven ability to manage multiple priorities, meet deadlines, and maintain accuracy in financial processes

Excellent written and verbal communication skills for effective interaction with tenants, contractors, clients, and internal stakeholders

Real estate qualification and registration as required by Queensland legislation

Valid driver's license and availability for after-hours support as required

Experience managing mixed-use properties including both commercial office and retail tenancies is highly desirable

Certificate IV in Property Services (or actively working towards qualification) would be advantageous
