Summary of the role:
The Executive Assistant (EA) to the GTH Head is a high-trust, high-impact role responsible for enabling the GTH Head and the broader GTH senior leadership team to operate at peak strategic effectiveness. While the primary reporting line is to the GTH Head, the EA provides active support to the senior leadership team - managing bandwidth, information flow, and executive priorities across the leadership layer seamlessly. This is not a conventional administrative role; the incumbent will be a thought partner who exercises sound judgement, operates with discretion, and proactively manages the GTH Head’s agenda and senior leadership priorities across time zones and leadership forums.
About the role:
Executive Schedule & Calendar Management
Own and manage the GTH Head’s calendar across time zones, ensuring strategic priorities are protected and conflicts resolved proactively; provide scheduling and coordination support to GTH senior leadership as required.
Coordinate complex domestic and international travel - flights, hotels, visas, ground transport, itineraries - with zero-gap logistics.
Prepare pre-meeting briefs, read-aheads, and post-meeting action trackers to maximise executive productivity.
Stakeholder Coordination & Communications
Serve as the first point of contact for the GTH Head’s office - managing correspondence, escalating priorities, and routing enquiries appropriately; extend similar coordination support to GTH senior leadership for cross-functional matters.
Liaise with LS&Co. global C-suite offices, GTH senior leadership, functional heads, external partners, and government/industry bodies on behalf of the GTH Head and senior leadership team.
Draft, review, and finalise executive communications including leadership emails, board notes, and town hall content.
Leadership Meeting & Board Support
Plan and orchestrate GTH leadership team meetings, offsites, QBRs, and town halls - including logistics, agenda, materials, and minutes.
Prepare high-quality, McKinsey-style presentations and documentation for board reviews, ExCom updates, and strategy forums.
Track open action items from leadership forums and follow up with functional owners to ensure accountability.
Office & Operations Enablement
Manage the GTH Head’s expense reports, purchase requisitions, and vendor/procurement approvals in line with LS&Co. policy; provide similar administrative support to GTH senior leaders as delegated.
Coordinate with Facilities, IT, HR, and Finance teams to support smooth GTH leadership operations.
Maintain confidential files, contracts, and sensitive information with the utmost discretion.
Special Projects & Strategic Support
Support the GTH Head on strategic initiatives, research assignments, and ad hoc projects requiring cross-functional coordination.
Assist in onboarding senior hires, managing leadership-level engagement events, and coordinating with global HR/talent teams.
Prepare competitor/benchmarking analyses, GTH capability decks, and other research as directed.
About you:
Essential
Bachelor's degree in any discipline; postgraduate qualification is an advantage.
5–9 years of experience as EA/PA to C-suite or senior leadership in a GTH, MNC, consulting firm, or large Indian conglomerate.
Proven ability to manage complex calendars and multi-timezone coordination without supervision.
Excellent written English - capable of drafting board-quality communications and presentations independently.
High proficiency in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook, Teams) and collaboration tools (SharePoint, Zoom, Slack).
Demonstrated track record of handling confidential information with complete integrity.
Preferred
Prior experience supporting leadership in a consumer goods, retail, or technology organisation.
Familiarity with GTH / Shared Services operating models and matrixed reporting structures.
Experience managing global travel for senior executives, including visa and protocol coordination.
Working knowledge of SAP Concur or equivalent expense management systems.
