About the Role

Reporting to the Operations Manager, the Sales Operations Specialist provides day-to-day operational support to the Sales team. This role is responsible for processing a high volume of wholesale orders, order acknowledgements, and customer invoices while ensuring accuracy and timely execution. Strong attention to detail, organizational skills, and effective communication are essential to successfully coordinate with customers, suppliers, distributors, and internal teams. As a key liaison between Sales and internal departments, this role validates pricing, monitors order status, resolves issues, and provides timely updates to ensure a seamless customer experience.

Please note this position is based in our Vancouver office and requires on-site attendance.

Responsibilities:

Process all wholesale orders (EDI) and order confirmations.

Maintains and updates customer accounts with relevant order information, delivery expectations, or any other specific data.

Informs sales staff of any issues that arise, such as a delay in shipping, or if customers have specific questions or complaints the associate is unable to handle.

Keeps customers and sales teams updated on any changes to order status, such as delivery dates.

Provides reactive and proactive updates to customers as order status changes

Works closely with finance, production, and shipping personnel daily to ensure customer orders are fulfilled, and their payment to the company is submitted in an accurate and timely manner

Perform ongoing analysis of sales performance across wholesale and other sales channels, identifying trends, opportunities, and potential risks.

Monitor sales trends, inventory levels, and product performance to support informed business decisions.

Analyze historical sales data and demand patterns to support inventory forecasting, replenishment planning, and demand projections.

Collaborate with Operations and Sales teams to review inventory requirements and ensure ERP reorder points accurately reflect current demand and business needs.

Prepare and maintain sales, inventory, and operational reports, providing insights and recommendations to support planning and decision-making.

Qualifications & Skills:

Business degree or diploma in Business Administration, Supply Chain, Commerce, or a related field.

3+ years of industry experience and/or experience in a similar job.

Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, formulas); experience with Power BI or other reporting tools is an asset.

Previous experience with an ERP system, specifically NetSuite, is considered an asset.

Demonstrated ability to organize & prioritize duties, multitask, and perform accurately, efficiently, and effectively in a high-paced work environment.

Detail-oriented with strong analytical, written, and verbal communication skills.

A critical thinker with proven conflict resolution skills.
