Job Summary:

We're looking for an organized and detail-oriented professional to support the Product Compliance & Design team. In this role, you'll help manage publishing and content systems, coordinate projects, support the Operations Manual Program, and work with internal teams and external stakeholders to deliver accurate, user-friendly content and services.

What you'll be doing:

Program & Administrative Support

Coordinate day-to-day activities for the Operations Manual Program and Product Compliance & Design team.

Respond to inquiries and support member access, agreements, renewals, and communications.

Maintain program documentation, records, and department procedures.

Organize meetings, webinars, agendas, minutes, and follow-up actions.

Publishing & Content Management

Support websites, content management systems, databases, and publishing tools.

Publish and maintain content, ensuring accuracy, accessibility, and a positive user experience.

Troubleshoot publishing, document, and access issues.

Document processes, workflows, business rules, and system requirements.

Assist with staff training and knowledge sharing on publishing tools and systems.

Project Coordination

Support project planning, tracking, implementation, and reporting activities.

Gather and document business requirements and workflow needs.

Coordinate tasks, timelines, and deliverables with stakeholders and technology teams.

Support content update initiatives from planning through publication.

Document lessons learned and best practices to improve future projects.

Analysis & Continuous Improvement

Prepare reports, presentations, process documentation, and communications.

Analyze operational, program, and project data to support decision-making.

Identify opportunities to improve workflows, publishing processes, and user experience.

Research new tools, technologies, and best practices

What you'll have:

Education & Experience

Diploma or degree in Business Administration, Project Management, Information Management, Web Technologies, Compliance, or a related field, or an equivalent combination of education and experience.

3-5 years of experience in project coordination, operations, publishing, information management, compliance, or a similar role.

Experience with websites, content management systems, databases, or publishing workflows is an asset.

Experience with requirements gathering, process mapping, testing, or implementation support is an asset.

Skills & Knowledge

Strong organizational, analytical, problem-solving, and communication skills.

Experience coordinating multiple projects and priorities in a fast-paced environment.

Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and collaboration tools.

Knowledge of content management systems, web publishing, workflow analysis, and reporting tools is an asset.

Experience with Adobe Acrobat, Adobe Creative Suite, Microsoft Access, FileMaker, Wrike, or similar tools is an asset.

High attention to detail and ability to manage confidential information professionally.

Strong written communication skills with a focus on clear, plain-language documentation.

Salary range: $50,000-$58,000

The salary represents the job rate determined for the successful candidate who is fully competent in the role. The actual salary will vary depending on market conditions and relevant job-related factors such as knowledge, skills, qualifications, experience, and education/training.
