About the role
Job Summary
RSM Diagnostics Lab is seeking a detail-oriented, tech-savvy Operations Specialist to support the daily logistical and administrative operations of the lab. This role handles client communications across phone, email, and fax, assists with inventory and purchasing tasks, prepares specimen collection kits, and supports shipping operations - helping ensure smooth, accurate day-to-day operations.
Communications
Handle incoming phone, email, and fax communications from clients, couriers, and vendors
Respond promptly and accurately to client inquiries regarding orders, supplies, and shipments
Route more complex issues to the Operations Manager or appropriate team as needed
Inventory & Purchasing
Monitor stock levels of lab supplies, collection materials, and kit components
Assist with placing and tracking purchase orders under guidance from the Operations Manager
Help maintain accurate inventory records and participate in regular stock counts
Report supply shortages or discrepancies to the Operations Manager
Kit Making & Shipping
Assemble specimen collection kits accurately, following established quality control procedures
Prepare and process outbound shipments, including packaging, labeling, and courier scheduling
Track shipments and follow up on delivery confirmations
Flag shipping delays, lost packages, or delivery issues to the Operations Manager
Operations & Technology
Use LIMS, inventory management software, CRM, and shipping platforms to log and track orders and supplies
Enter and maintain accurate data across operational systems
Support the Operations Manager with day-to-day reporting and administrative tasks
Follow company policies and procedures related to biohazard shipping and specimen handling
Qualifications
High school diploma required; Associate's or Bachelor's degree preferred
1+ years of experience in operations, logistics, administrative support, or a similar role (healthcare/lab setting a plus)
Comfortable managing phone, email, and fax communications
Basic proficiency with inventory systems, CRM/LIMS platforms, or willingness to learn quickly
Strong attention to detail and organizational skills
Ability to follow established procedures and multitask in a fast-paced environment
Good problem-solving skills and a proactive, team-oriented attitude
Prior experience with kit assembly, specimen handling, or shipping a plus, but not required
Pay: $36,000.00 - $45,000.00 per year
