Summary
We are seeking an organized and service-oriented Administrative Assistant to provide day-to-day administrative and office support to the Admin Manager and senior management team. In this role, you will help keep operations running smoothly by coordinating schedules and travel, preparing meeting materials, supporting client communications, and maintaining accurate records.

What You’ll Do:
· Provide administrative and office management support to the executive team and contribute to smooth daily operations.
· Keep digital and physical filing systems organized, including scanning and
categorizing T1 source documents into secure client-specific folders.
· Update and manage client records in internal systems.
· Support secure and efficient client interactions by preparing and sending documents through company portals for electronic signatures and approvals.
· Prepare control sheets, log incoming work, and track job progress to help the team manage workflow and reporting.
· Help monitor deadlines and deliverables to keep work moving forward.
· Liaise with the Canada Revenue Agency on behalf of clients to address inquiries and resolve issues.
· Submit responses to Canada Revenue Agency reviews.
· Update client profiles in tax software systems such as TaxPrep and CaseWare upon job log in.
· Assemble, print, and organize complete tax packages (T1, T2, T3) for client review and signature.
Reception Support:
· Greet clients and visitors, determine the purpose of their visit, and direct them to the appropriate personnel.
· Process client payments.
· Step in to support Executive Assistants and Reception as needed during absences or peak workload periods.
· Provide direct administrative and office management support to all members of the executive team, as directed.
Requirements
· Strong knowledge of software systems, as well as Microsoft Office products, including Excel, Word, and PowerPoint.
· Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items.
· Experience in managing third-party service providers.
· Able to maintain filing systems and databases
· Excellent analytical and problem solving skills.
· Meticulous records maintenance skills.
· Superior telephone manners and strong interpersonal skills.
· Good financial and business awareness.
· Strong written and verbal skills to communicate with all levels of the organization and its executive team.
· Strong customer service orientation

Pay: $45,000.00-$50,000.00 per year
