Your Opportunity
Reporting to the Executive Director, the Operations Manager is responsible for providing strategic leadership and oversight of ARBI's administrative operations, including finance, human resources, facilities, information technology, governance support, and the management of key external service providers and contracts. As a key member of the leadership team, this position ensures the organization's operational systems, people, and resources are effectively aligned to support ARBI's mission and strategic priorities.
The Operations Manager works collaboratively across the organization to strengthen operational excellence, ensure regulatory compliance, support organizational growth, and create an environment where staff can thrive while delivering high-quality services to clients and families.

Key responsibility areas:
1. Finance Operations – 40%
Responsible for overseeing ARBI's financial operations, ensuring accurate financial reporting, regulatory compliance, and effective stewardship of organizational resources.
Lead budgeting, financial monitoring, and cash flow reporting
Oversee accounts payable, accounts receivable, bank reconciliations, and month-end processes
Manage grants, donations, restricted funding, and charitable receipting
Coordinate the annual audit and collaborate with external accounting partners
Ensure compliance with CRA, AGLC, GST, and Society reporting requirements
2. Human Resources – 30%
Responsible for leading ARBI's human resources functions, supporting employee engagement, and ensuring compliance with employment legislation and organizational policies.
Oversee payroll, benefits administration, and HR policies
Support recruitment, onboarding, performance management, and employee relations
Oversee employee records in FolksHR, including onboarding, offboarding, and absence tracking.
Coordinate staff professional development and employee engagement initiatives
Administer WCB claims and monitor HR metrics to support organizational planning
Facility & Information
3. Technology Management – 20%
Responsible for ensuring ARBI's facilities, technology, and operational systems effectively support service delivery and organizational continuity.
Coordinate facility maintenance and vendor relationships
Liaise with external IT providers to maintain secure and reliable technology systems
Oversee office equipment, technology assets, and operational resources
Maintain ARBI’s Business Continuity Plan and Risk Management Framework
Lead operational improvement initiatives and special projects
4. Board & Governance Support – 10%
Responsible for supporting effective organizational governance and Board operations.
Support the Executive Director with Board and Committee administration
Prepare meeting materials, agendas, and minutes
Maintain governance records, policies, and bylaws
Coordinate Board calendars, Annual General Meeting planning, and regulatory filings
Qualifications:
Post-secondary education in Business Administration, Nonprofit Management, Accounting, or a related field is preferred. An equivalent combination of education and experience will be considered.
Minimum five (5) years of progressive office or operations management experience, including human resources responsibilities.
Minimum two (2) years of financial management experience is required
Minimum three (3) years of leadership or supervisory experience with demonstrated success leading teams and fostering a collaborative workplace culture.
Experience working within a nonprofit organization is considered an asset.
Experience supporting a Board of Directors and governance processes is considered an asset.
Proficiency with Sage 50 (Simply Accounting), Microsoft Office Suite (particularly Excel), CRM systems, and client billing software.
Strong organizational, communication, analytical, and decision-making skills.
Ability to manage multiple priorities while maintaining accuracy and confidentiality.
Successful completion of a Police Information Check and Vulnerable Sector Check as a condition of employment.
