Position Summary

The File Maintenance Supervisor is responsible for supporting the accuracy and integrity of store pricing, signage, promotional execution, systems maintenance, and data management processes. This position provides leadership for file maintenance operations, ensuring price changes, markdowns, promotions, shelf tags, and related activities are completed accurately and on schedule. The File Maintenance Supervisor helps maintain compliance with company standards while supporting operational excellence and a positive customer experience.

Key Responsibilities File Maintenance Operations

Oversee daily file maintenance activities and workflow execution.

Ensure all pricing updates, promotions, markdowns, and system changes are accurately processed.

Verify shelf tags, signs, and pricing information are current and accurately displayed throughout the store.

Monitor and maintain data integrity across store systems.

Assist with identifying and correcting pricing discrepancies.

Support implementation of new system programs, procedures, and promotional initiatives.

Pricing & Promotional Execution

Ensure advertised promotions are executed accurately and on time.

Coordinate the preparation, distribution, and placement of signs, tags, and promotional materials.

Validate pricing accuracy through audits and routine verification processes.

Investigate and resolve item, pricing, and promotional discrepancies.

Support compliance with company pricing policies and regulatory requirements.

Leadership & Team Development

Provide daily direction and support to File Maintenance Clerks and assigned associates.

Assist with onboarding, training, and development of department associates.

Communicate priorities, deadlines, and expectations effectively.

Promote accountability, teamwork, and operational excellence.

Lead by example through professionalism and attention to detail.

Inventory & Systems Support

Assist with maintaining item records and product information within company systems.

Support inventory-related processes by ensuring information accuracy.

Coordinate with department managers regarding product setups, pricing concerns, and promotional execution.

Assist with troubleshooting system-related pricing and file maintenance issues.

Ensure timely completion of required reports and documentation.

Compliance & Audit Readiness

Maintain compliance with company policies and procedures.

Conduct regular audits to verify pricing and promotional accuracy.

Support store readiness for internal reviews and regulatory inspections.

Ensure department records and documentation are properly maintained.

Promote safe work practices and compliance with workplace safety standards.

Customer Service

Respond to customer pricing concerns and inquiries in a timely and professional manner.

Work collaboratively with front-end and department teams to resolve pricing issues.

Support a customer-focused environment through accurate pricing and promotional execution.

Contribute to a positive shopping experience for all customers.

Financial Performance

Support efforts to minimize pricing errors and operational losses.

Help improve efficiency through accurate execution of file maintenance processes.

Monitor department productivity and workflow performance.

Assist in achieving store accuracy, compliance, and operational goals.

Identify opportunities for process improvement and increased efficiency.

Qualifications Preferred Experience

Previous file maintenance, pricing, retail operations, or grocery experience preferred.

Prior supervisory, lead, or team leadership experience preferred.

Experience working with pricing systems, inventory systems, or retail technology preferred.

Knowledge & Skills

Strong attention to detail and accuracy.

Excellent organizational and time management skills.

Effective communication and leadership abilities.

Strong analytical and problem-solving skills.

Knowledge of retail pricing and promotional processes.

Basic computer proficiency and ability to learn store systems.

Ability to prioritize work and meet deadlines in a fast-paced environment.

Physical Requirements

Ability to stand and walk for extended periods.

Ability to lift, carry, push, and pull up to 50 pounds with or without reasonable accommodation.

Frequent bending, reaching, twisting, stooping, and repetitive motions.

Ability to work throughout various areas of the store.

Ability to safely operate equipment used in file maintenance and signing activities.

Work Environment

Fast-paced retail grocery environment.

Frequent interaction with store associates, managers, and customers.

Exposure to various store conditions, including stockrooms and sales floors.

Flexible schedule including mornings, evenings, weekends, and holidays as business needs require.
