HR Executive (Beauty Retail - Payroll,Recruitment & Admin)

ABOUT THE ROLE:

We are seeking a dynamic and detail-oriented HR Executive to join our Beauty Retail team. You will be instrumental in helping the recruitment cycle, maintaining HR systems, and supporting employee relations within the company. This role focuses on payroll and administrative support, ensuring a seamless and efficient HR operation.

Priority Hiring: We are actively expanding and looking to onboard our next team member promptly; therefore, candidates with immediate availability or a short notice period will be highly prioritized.

KEY RESPONSIBILITIES

Payroll & Compensation:

Process end to end payroll administration using Quick HR system - generate payroll, CPF, IR8A, IRAS and tax clearance.

Process staff commissions and other staff payment matter (claims, leave management, time attendance, final salary).

Work closely with the Operations and accts teams to ensure accurate and efficient information flow, such as attendance clock-in/out reports, commission data submission and updates, and CPF/Bank uploads.

Recruitment & Onboarding:

Assist in the full recruitment cycle for retail positions, posting ads, interviewing and selecting candidates as assigned.

Prepare and update recruitment materials such as contracts, job descriptions, and job advertisements.

Conduct new employee orientation and onboarding processes, including uniform issuance and POS data access setup and talent card.

HR Administration & Employee Relations:

Update the HR Management System (HRMS) and entering data into the payroll and leave managementsystem (Quick HR) accurately.

Handle work permit applications, cancellations, and renewals in compliance with MOM work pass processing.

Prepare a variety of employee letters including promotions, employment verification, and salary adjustments.

Maintain both (updated) electronic and paper-based employee personnel files, ensuring compliance with company standards.

Support employee relations as liaison for counselling, grievances, issuing warning letters, and terminations.

Data Management & Ad Hoc Duties:

Perform data entry and processing tasks, including attendance reports, birthday voucher issuance, and pro-family leave reports.

Archive employee records in accordance with company policies.

Undertake additional ad hoc HR-related duties as required (ex. HR outlet visit and audit).

JOB REQUIREMENTS:

Minimum Diploma/Degree in any field.

At least 2 years of relevant payroll and recruitment experience in the Retail, FMCG, or F&B industries, or within a recruitment agency.

Strong understanding of HRMS and payroll systems (experience with Quick HR,NOTION is a plus).

Excellent organizational and multitasking skills.

Strong communication and interpersonal skills.

Ability to work independently and as part of a team with minimum supervision.

Availability: Able to join in short notice is an added advantage. Immediate starters will be highly prioritized to support our current business operations.

Residency: This position is open to Singaporeans, residents only.

Language Proficiency: Fluency in spoken Chinese is highly preferred to effectively communicate with our predominantly Mandarin-speaking clientele and customer base.
