POSITION SUMMARY:

The Associate Real Estate Manager supports in managing all aspects of our Seattle portfolio including marketing operations and financial activities.

ESSENTIAL FUNCTIONS:

· Directly involved with office and property day-to-day operations. Responds to tenant needs, ensuring that administrative and building technical staff resolve problems promptly. Coordinate responses to above standard tenant service requests and tenant follow-up.

· Maintain highest professional standards with clients, tenants, vendors, and coworkers; focusing on tenant retention and customer service. Support the new tenant welcome and orientation programs. Coordinate tenant related activities including organization of employee and tenant events.

· Review Certificates of Insurance reports to ensure insurance requirements are met among tenants, contractors, vendors and suppliers. Manage compliance enforcement procedures; notices, tracking, and follow-up.

· Assists with development of annual budgets for operating and capital expenses. Contacts vendors for anticipated increases, obtains proposals for projects, enters information into budgeting software and compiles final client deliverables.

· Assists in completion of annual common area operating expense reconciliation with property accountant and direct supervisor. Creates all invoices for final reconciliation credits or amounts owed and submits new recurring billing forms to tenants for monthly estimates.

· Completes standard form service contracts for all recurring vendors, capital and special projects, and maintenance projects as required. Ensure that all recurring vendor contracts are current by tracking all contracts and pro-actively renewing preferred property vendors. Assist in the Request for Proposal (RFP) process as needed.

· Ensures that services are provided in compliance with policies, procedures, regulations, contractual obligations and Company standards. Identify cost saving methods or initiatives which can be implemented by services providers. Performs periodic property inspections including regular janitorial tours. Recommends and/or approves alterations, maintenance and reconditioning as necessary.

· May coordinate Tenant Improvement projects (paint and carpet jobs, or smaller TI’s as decided by the GM/PM). Coordinates tenant move-ins and move-outs, and "walks-through" spaces with tenants and tenant improvement contractors.

· Maintain on-line property portal.

SECONDARY FUNCTIONS:

· Provide administrative support to Management and Engineering teams when required. Support Property Accountant as needed.

· Provides informal assistance such as technical guidance, and/or training to coworkers. May coordinate and assign tasks to co-workers within a work unit and/or project.

· Regularly update meeting minutes as required/needed, including the periodic Operations Meeting minutes.

· Develop, revise and coordinate implementation and maintenance of online property portal and tenant work order program. Coordinate with vendor to ensure greatest facility possible within property budget. Periodically review effectiveness and share experiences with other property teams. Maintain property Emergency Plans; update tenant emergency and main contacts on a quarterly basis.

REQUIREMENTS:

· Bachelor’s degree in Real Estate, Business Administration, Finance, Property Management, or a related field.

· 2-5 years of related experience and/or training or equivalent combination of education and experience.

· Conducts basic financial analysis and must possess analytical and quantitative skills. Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and/or commissions.

· Intermediate to advanced skills with Microsoft Office Suite, including Microsoft Word and Microsoft Excel. Possesses or is capable of developing, proficient knowledge with industry standard property accounting systems such as MRI and Yardi.

· Ability to work, on occasion, flexible hours which may exceed 8 hours in a day, 5 days in a week or 40 hours in a week.

· While performing the duties of this job, the employee is regularly required to use hands and talk or hear. The employee frequently is required to sit. The employee is occasionally required to stand; walk; reach with hands and arms; and/or stoop.

· The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus.

· Real estate license required where jurisdiction requires. Incumbent must possess and maintain a valid state driver’s license, auto insurance and clean driving record. Routine and frequent local travel between properties is likely and expected.

Pay: $70,000.00 - $95,000.00 per year
