GHRSS Administrator - Interview Scheduling Analyst

What you’ll do:
Coordinate and schedule interviews, partnering with candidates, hiring teams, and interviewers to ensure a smooth and efficient process
Prepare and share interview-related materials, such as resumes, interview guides, and evaluation resources
Support candidate travel arrangements and related logistics when applicable
Process expense reimbursements in accordance with company guidelines and procedures
Manage scheduling requests and workflow activities using case management tools, recruiting systems, and Microsoft Outlook
Maintain accurate records and reporting to support operational effectiveness and service delivery
Help create a positive, seamless experience for candidates and internal stakeholders throughout the hiring process
Serve as a professional representative of the organization, contributing to a welcoming and inclusive candidate experience
Identify opportunities to improve processes, documentation, and ways of working
Escalate complex scheduling or operational challenges to appropriate partners when additional support is needed
Participate in cross-training and knowledge-sharing activities to support team flexibility and growth
Collaborate with team members and HR/Talent Acquisition partners to enhance efficiency and service quality
Contribute to special projects, continuous improvement initiatives, and other responsibilities that support hiring operations and business objectives
Qualifications:
Bachelor’s degree or equivalent combination of education, training, and relevant experience
Experience in Human Resources, Customer Service, Shared Services, or other customer-focused and operational environments
Strong verbal and written communication skills, with the ability to interact effectively with diverse stakeholders
Proficiency in learning and using technology platforms such as HR systems, case management tools, applicant tracking systems, and Microsoft Office applications
Demonstrated ability to provide high-quality customer service in a dynamic, fast-paced environment
Ability to manage multiple priorities and deadlines while maintaining accuracy and attention to detail
Strong critical thinking, problem-solving, and organizational skills
Ability to navigate scheduling complexities and identify effective solutions to support business needs
Excellent time management skills and the ability to work independently and collaboratively
Proactive mindset, with a willingness to learn, share knowledge, and contribute to team success
Flexibility to support a variety of HR Services processes and workstreams as business needs evolve
Availability to work a night shift schedule (9:00 PM – 6:00 AM)
Ability to work in a hybrid arrangement (3 days per week onsite) in Tanauan, Batangas (First Philippine Industrial Park)
Familiarity with U.S. employment practices, recruitment processes, benefits administration, disability management, data privacy, and related HR regulations is an advantage
