Executive Assistant to Managing Director – Group Coordination & Business Development
Location: Ahmedabad/Surat (Gujarat)
Employment: Full-Time
Travel Requirement: Extensive domestic and international travel
Reporting To: Managing Director
We are looking for a highly organised, proactive, trustworthy, and business-oriented professional to work directly with the Managing Director and support the monitoring, coordination, administration, travel, and business-development activities of all group companies.
Key Responsibilities
- Manage the Managing Director’s schedule, meetings, correspondence, appointments, and confidential assignments.
- Monitor the performance and activities of all group companies.
- Collect and consolidate daily, weekly, and monthly management reports.
- Track pending tasks, project milestones, sales targets, receivables, customer issues, and management decisions.
- Prepare presentations, business reports, meeting agendas, minutes, and action trackers.
- Coordinate with Indian and international customers, vendors, consultants, business partners, and internal departments.
- Follow up on enquiries, proposals, quotations, orders, payments, and business opportunities.
- Support group-level business development and identify new customers, markets, partnerships, and projects.
- Represent or accompany the Managing Director at customer meetings, exhibitions, conferences, factory visits, project locations, and business events.
- Support administration, HR coordination, vendor management, office management, and implementation of management instructions.
- Handle sensitive and confidential information with complete discretion.
Domestic and International Travel Responsibilities:
- Travel frequently with the Managing Director or independently for business assignments across India and overseas.
- Be willing to travel at short notice and remain flexible regarding travel dates, duration, and working hours.
- Plan and manage complete travel itineraries, including flights, hotels, visas, local transportation, meetings, and customer visits.
- Coordinate with customers, business partners, embassies, travel agents, hotels, and overseas representatives.
- Prepare customer profiles, meeting schedules, presentations, travel documents, and country-specific briefing notes before each trip.
- Attend exhibitions, conferences, trade fairs, project sites, factories, customer offices, and international business meetings.
- Follow up on business discussions, proposals, commitments, and action points after each visit.
- Maintain travel expense records and coordinate travel settlements and reimbursements.
- Ensure timely completion of passport, visa, travel insurance, foreign exchange, invitation letters, and other travel documentation.
- Candidate must be comfortable with extended travel, including multiple-city and international trips.
Candidate Profile:
- Graduate or postgraduate in Business Administration, Commerce, Management, Marketing, Finance, Engineering, or a related field.
- Approximately 3–10 years of relevant experience.
- Experience working with a Managing Director, promoter, CEO, chairman, or senior management is preferred.
- Strong English and Hindi communication skills; Gujarati or any foreign language will be an advantage.
- Excellent knowledge of Excel, Word, PowerPoint, email communication, reporting, and presentations.
- Strong coordination, follow-up, analytical, administrative, and business-development skills.
- Must possess a valid passport.
- Must be willing to travel extensively within India and internationally.
- Must be available for urgent travel and flexible working hours.
- Candidates having previous international travel or export-business experience will be preferred.
Preferred Industry Experience:
Candidates with experience in manufacturing, renewable energy, metals, engineering, technology, infrastructure, import-export, international business, or diversified business groups will be preferred.
