We are looking for a Project & Operations Staging Coordinator to join our HUB team in Milan. The Project & Operations Staging Coordinator is responsible for managing the end-to-end staging of projects from Western Europe within the Milan HUB, ensuring efficient space planning, material flow, system accuracy (SAP & CORA), and on-time delivery.

In parallel, the role provides high-level administrative support to leadership, ensuring smooth organizational coordination, communication, and executive efficiency.

KEY RESPONSIBILITIES

1. Project Coordination & HUB Operations

Coordinate and manage the flow of projects arriving from Western Europe for staging at the Milan HUB.

Track project timelines, milestones, and deliverables.

Act as the central point of contact between project teams, logistics, warehouse personnel, and stakeholders.

2. Space Management & Logistics

Plan and optimize staging space utilization.

Allocate areas based on project priorities and timelines.

Coordinate transportation, scheduling, and logistics execution.

3. Incoming & Outgoing Material Flow

Oversee the receipt, inspection, storage, and traceability of materials.

Coordinate outbound shipments and ensure completeness and readiness.

Liaise with logistics providers to ensure timely dispatch.

4. Orders & System Management (SAP & CORA)

Create and manage project orders in SAP.

Maintain accurate project status visibility and tracking in CORA.

Monitor open projects and ensure data integrity.

Resolve discrepancies and ensure alignment between systems and operations.

Request certifications where required (for example, Certificates of Origin).

Coordinate with third parties regarding material requests and incoming deliveries.

5. Invoicing & Delivery

Coordinate invoicing in line with project milestones and deliveries.

Verify completion of deliverables before billing.

Ensure proper documentation for invoicing and shipment.

Support cost tracking and alignment with financial reporting.

6. FAT Coordination

Plan Factory Acceptance Tests (FAT) at the HUB.

Ensure team readiness, including systems, resources, setup, and documentation.

Track completion and ensure proper documentation of all test phases.

KEY SKILLS & QUALIFICATIONS:

Bachelor's degree in Business Administration, Logistics, or related field.

Experience in administrative or executive support roles.

Strong organizational, coordination, and multitasking skills.

Knowledge of logistics, warehouse operations, and SAP (CORA is a plus).

Excellent communication, stakeholder management, and problem-solving abilities.

High attention to detail, professionalism, and discretion.

Financial awareness, including invoicing and expense tracking.

Fluent English: additional languages are an advantage.
