Job Description:
The Executive Assistant II provides administrative and operational support to multiple leaders, ensuring smooth day-to-day operations and helping maximize leadership effectiveness. This role manages calendars, travel arrangements, expenses, meetings, and administrative processes while serving as a key point of coordination between internal teams, external vendors, and business partners.
The ideal candidate is highly organized, proactive, detail-oriented, and able to manage multiple priorities with a strong sense of urgency in a fast-paced environment.
Key Activities
Provide administrative support to four leaders, including Directors within the Customer Transformation organization and a Finance leader.
Manage calendars, schedule meetings, and coordinate competing priorities.
Coordinate domestic and international travel
Prepare and submit expense reports and support travel-related administration.
Assist with purchase orders (POs), invoice tracking, and payment coordination.
Coordinate executive meetings, agendas, and logistics.
Support executive visits, ensuring compliance with security and visitor management requirements.
Coordinate catering and external vendors for meetings and events.
Build and maintain effective relationships with internal and external stakeholders.
Anticipate business needs, proactively solve administrative challenges, and ensure timely execution of activities.
Required Qualifications
Some experience in executive support, administrative coordination, operations support, project coordination, office management, or other transferable business support roles.
Experience managing schedules, meetings, travel arrangements, or administrative processes in a corporate environment.
Strong organizational skills with the ability to prioritize multiple tasks and deadlines simultaneously.
Demonstrated sense of urgency, accountability, and attention to detail.
Ability to work independently and exercise sound judgment when handling sensitive or confidential information.
Strong interpersonal and communication skills.
Advanced English proficiency (written and verbal)
Proficiency with Microsoft Office applications, including Outlook, Teams, Excel, Word, and PowerPoint.
Preferred Qualifications
Experience supporting multiple leaders or stakeholders simultaneously.
Experience coordinating international travel and expenses.
Familiarity with PO, invoicing, or payment-related processes.
Ability to anticipate needs, identify solutions, and improve administrative efficiency.
