Under the administrative direction of the Executive Director of Budget Services, the 1820 Junior Administrative Analyst will be an integral part of a team. This is an entry level role with opportunity for growth.

Responsibilities

According to Civil Service Commission Rule 109, the duties specified below are representative of the range of duties assigned to this job code/class and are not intended to be an inclusive list.

Manage the planning and monitoring of school site and/or central department budgets, as well as the ongoing support, training, and tracking of expenditures to ensure alignment to budget

Manage central department budgets by working with departments from the point of budget development through implementation and spending of funds and resources

Coordinate the implementation of aligning budgets to the needs of sites and central departments by working cross-departmentally through planning and implementation and execution of funds

Facilitate training for sites ad-hoc, doing walkthroughs via phone or in-person to ensure understanding of processes

Provide customer service, problem-solving, and thought partnership with departments and schools to ensure there are adequate funds for various needs (e.g., equipment, staffing, contracts, etc.)

Contribute to team by working closely with analysts to solve cross-departmental budget issues

Take responsibility for meeting expectations of Budget Office team members such as participating in team meetings, maintaining accurate reports and records, meeting deadlines, and proposing process improvements

Review and export large sets of data into Excel reports and conduct data analysis

Communicate budget data to site and central administrators both proactively and in response to requests

Ensure new positions are set up accurately and budgeted for in our online position management system

Manage projects, facilitate cross-departmental meetings, and map out timelines and deliverables to meet project goals

Take responsibility for balancing large funding sources, including tracking revenue, allocating budget, and monitoring expenditures

Minimum Qualifications

Possession of a baccalaureate degree from an accredited college or university, and one (1) year of full-time equivalent experience performing professional-level analytical work. Qualifying professional-level analytical work includes analysis, development, administration, and reporting in major programs and functions of an organization in areas such as budgets, contracts, grants, policy, or other functional areas related to the duties of positions in the 182X Class series.

Substitution: Possession of a graduate degree (Master’s degree or higher) from an accredited college or university with major coursework in specialized subject matter areas such as public or business administration, management, business law, contract law, public policy, urban studies, economics, statistical analysis, finance, accounting, or other fields of study closely related to the essential functions of positions in the Class series may be substituted for the required one (1) year of experience.

Substitution: Additional experience as described above may be substituted for the required degree on a year-for-year basis (up to a maximum of 2 years). Thirty (30) semester units or forty-five (45) quarter units equal one year.
