About the role

Role purpose

The Team Leader & Project Manager, Treasury Services is responsible for the planning and control of the workloads and resources for the team on a daily basis to ensure resources are effectively allocated to meet all deadlines and performance standards. The role will continually review the team structure to:

Deliver seamless payment projects, replacement payments, bank reconciliations, and lodgement of unclaimed monies with the relevant government agencies within the required timeframes without error

Reduce key person dependencies and maintain staff morale during peak periods

Work on individual development of all staff to provide career progression

The individual will have responsibility to manage staff reporting through to the Manager, Treasury Services including performance management, training programs, annual reviews, analysis of skills gaps and effective leadership through coaching and support.

As a Team Leader & Project Manager you will also project manage payments/mailings and other projects as applicable. Ensure the accurate and timely despatch of all client payments/mailings, provide support services and assist clients with new payment/mailing facilities.

Key Accountabilities and main responsibilities

Strategic Focus

Contribute to the development of a culture across MUFG Corporate Markets that supports MUFG Corporate Markets strategic goals and values as leader in quality Registry Services including lead and direct the culture of the department as an open, innovative and best practice group

Actively improve and enhance communications with Treasury Services Payments team, Operations, EPS, Investor Services, Treasury Operations, Capital Markets, Investor Communications and CRG ensuring that relevant information is provided in a timely and effective manner

Develop and implement continuous improvement strategies to improve and enhance client service practices and initiatives across MUFG Corporate Markets including

Ensuring that a hindsight review is completed for every project within 4 weeks of its close, with any amendments to the generic project strategies to be discussed nationally and signed off by Senior Manager and then updated/amended on the intranet within 5 weeks of the project close

Operational Management

Effective application of project management skills, allocation of resources, people leadership and workload priorities to ensure that all work is undertaken in a timely, accurate and efficient manner to:

Ensure 100% delivery of all payments and mailings

Manage the end-to-end UCM process with the bank reconciliations team to prepare, reconcile and lodge unclaimed monies files and payments for client and Pacific Custodians bank accounts with the relevant government agency within the required timeframes

Ensure all replacement payments are processed according to agreed schedules

Manage the preparation, review and delivery within SLAs of accurate and timely reconciliations of bank accounts including investigation of rejected transactions with the bank and initiation of remedial action where necessary

Ensure timely resolution of NELs

For Clients:

Proactively review proposed Reinvestment Plan terms and conditions to ensure they accord with the registry system and make recommendations to clients to ensure the plans cost-effective introduction

Prepare and provide direct credit facility advice to clients, and liaise with the client’s bank to ensure all requirements are fulfilled

Provide support services to clients including assisting with the design of dividend stationery and preparation of design proofs through the design team

Organise daily workflow of team in a priority order

Prepare and manage weekly statistical reports including annual leave and overtime

Attend operational/client and staff meetings as directed and required

Assist Manager with weekly reporting requirements, drafting invoices, managing fees for work in progress and monthly provisions of revenue and forecasts

Actively support all Oscar and data analytics process improvement initiatives including enhancements, upgrades, testing, documentation and change control

General administration and other duties as directed by Manager

People Leadership

Provide leadership including, but not limited to, coaching, motivation and performance counselling

Regular feedback to staff on performance and assist with the delivery of the mid year and annual performance reviews

Conduct “on the job” training for team members as required and follow up to address any skill gaps and to ensure staff members have been adequately trained

Delegate challenging work to staff to ensure cross training and multi skilling is constantly being driven throughout the team

Conduct staff performance reviews half yearly and annually

Continually provide feedback to Manager in relation to the staff’s training needs and performances against KPI’s/job description

Governance & Risk

Maintain a high-level working knowledge of all relevant regulations including Corporations Law, ASX Listing Rules, SCH Business Rules and MUFG Corporate Markets procedures

Assist staff with complex inquiries/complaints and technical issues

Ensure the Payments Policy and Procedures manual is maintained and up-to-date

Develop and maintain detailed knowledge of the securities and related industries, through formal and self-education

Maintain a detailed knowledge of the registry system, imaging systems and other applications used by MUFG Corporate Markets

Actively support and meet all compliance, audit, statutory and risk management processes and their respective deadlines, as established throughout the year

Experience & Personal Attributes

Five years minimum experience in the financial services industry and a high level of understanding within the securities industry

Demonstrated experience in managing payment services and reinvestment plans

Demonstrated experience in/knowledge of the securities industry and financial markets, including Corporations Law, Business Rules and ASX Listing Rules, especially regarding payments

Demonstrated experience in successfully managing multiple projects using project management techniques covering planning and successful delivery of projects, on time and within budget

Highly developed analytical and problem solving skills

Effective oral and written communication skills including strong negotiation skills

Ability to liaise successfully with internal and external parties

Effectively lead and manage a work team and represent MUFG Corporate Markets at client meetings

Demonstrated high level of initiative, motivation and organisational skills, with the ability to determine work priorities, and work independently to strict deadlines

Proficiency with project management tools e.g. Microsoft Project, Microsoft Excel

Flexibility and demonstrated ability to meet demanding deadlines and work the hours required to meet those deadlines

Ability to prepare and maintain project budgets, analyse financial information and prepare concise management reports

Analytical and problem solving skills

Tertiary Qualification in business/financial markets/law/securities industry desirable
