With over 2,500 members, Sutton Lawn Tennis Club is one of Ireland’s leading member-owned sports clubs. The Club combines professional management with the commitment and support of its volunteers to deliver an outstanding sporting and social experience.

Located at 176 Howth Road, Sutton, Dublin 13, the Club boasts excellent facilities including 11 tennis courts, 2 padel courts, 5 squash courts, a state-of-the-art gym, snooker room, bar and lounge, kitchen, and junior room. As part of our continued growth, we are preparing to embark on an exciting indoor tennis development project.

The Role

We are seeking an experienced and highly organised Office Manager to oversee the day-to-day administration of the Club. This is a varied and hands-on role requiring strong organisational, financial, customer service and people management skills.

Reporting directly to the General Manager, the successful candidate will play a key role in supporting the Club’s operations, members, staff and committees while ensuring the highest standards of service and administration.

Key Responsibilities

Administration & Operations

Manage the daily administrative operations of the Club office.

Support the General Manager with reports, documentation and administrative tasks.

Act as the first point of contact for members, visitors and external stakeholders.

Manage office communications, including phone, email and correspondence.

Maintain accurate membership records, renewals and new member onboarding.

Prepare reports, meeting agendas, correspondence and minutes as required.

Ensure effective management of office supplies, equipment and supplier relationships.

Oversee a small team of office administrators, ensuring appropriate staffing cover during weekends, holidays and leave periods.

Membership & Customer Service

Provide a professional, efficient and welcoming service to members and visitors.

Manage membership enquiries, feedback and day-to-day member communications.

Support the delivery of club events, programmes and activities to ensure a high-quality member experience.

Finance & Payroll Support

Process payments, invoices, expenses and cash transactions accurately.

Maintain financial records and support budgeting and financial reporting activities.

Assist with payroll preparation and related administration.

Liaise with the Club’s accounting systems and support finance processes as required.

HR & Compliance

Assist with employee onboarding, personnel records and leave administration.

Maintain GDPR-compliant records and data management practices.

Ensure compliance with Club policies, safeguarding requirements, health & safety procedures and mandatory training obligations.

Communications & Club Promotion

Produce club newsletters, notices and member communications.

Maintain and update website content, online calendars and member information.

Support the promotion of club events, competitions, coaching programmes and other club activities across relevant platforms.

Governance Support

Provide administrative support to Club committees and working groups.

Prepare and distribute meeting papers, agendas and minutes.

Person Specification

The successful candidate will have:

Previous experience in an office management, administration or similar role.

Experience working with accounting or financial management systems.

Excellent organisational and time-management skills, with the ability to prioritise competing demands.

Strong attention to detail and a high level of accuracy.

Excellent written and verbal communication skills.

A customer-focused approach with a friendly, professional manner.

Strong people management and team coordination skills.

Proficiency in Microsoft Office applications, including Word, Excel and Outlook.

Experience maintaining websites, databases or club/member management systems would be advantageous.

The ability to work independently while contributing positively to a team environment.
