Job Description
OBJECTIVES & MISSIONS
Reporting directly to the Assistant/ Warehouse & Logistics Manager, the Shipping Officer is responsible for ensuring timely, accurate, and compliant shipment of goods in a warehouse and logistics environment. Acting as the key interface between internal teams, customers, and logistics service providers, the role ensures on-time delivery (OTD), adherence to trade compliance regulations, and cost-efficient transportation.
The position plays a critical role in maintaining high service levels by managing shipment execution, documentation accuracy, and continuous monitoring of logistics performance. The Shipping Officer serves as a critical link between warehouse operations, customers, and logistics providers enabling the fulfilment to customer satisfaction and operational excellence.
MAIN ACTIVITIES
As part of the Logistics organization and with the aim of ensuring the continuity of repair production:
Shipment Coordination
Arrange and coordinate local and international shipments with freight forwarders and courier providers.
Schedule and manage shipment pick-ups and deliveries.
Monitor shipment progress, proactively follow up on delays, and resolve exceptions.
Prioritise SPT shipments to ensure On-Time Delivery (OTD) targets are achieved.
Documentation Management
Prepare, review, and validate shipping documents, including:
Commercial Invoice
Packing List
Air Waybill (AWB)
Bill of Lading (B/L)
Export Permits
Manual Delivery Notes (DN) / Invoices
Ensure completeness, accuracy, and compliance of all shipping documentation before dispatch.
Trade Compliance & Permit Declaration
Ensure all shipments comply with applicable customs regulations and internal company policies.
Request and verify OD / CA permit declarations through freight forwarders.
Validate HS codes, shipment values, country of origin, and export control requirements.
Customer & Internal Coordination
Communicate shipment schedules, updates, and delivery status to customers.
Coordinate closely with Warehouse, Procurement, Sales, and Customer Service teams to ensure alignment.
Freight Cost Control
Obtain and evaluate freight quotations from logistics service providers.
Compare transport options based on delivery timelines and cost efficiency.
Ensure shipping costs are properly allocated, verified, and documented.
System Transactions
Create and maintain shipment records in ERP systems.
Perform shipment closure and invoicing transactions accurately and promptly.
Maintain complete and up-to-date logistics and shipping records.
Performance Monitoring
Track outstanding shipments and pending permit approvals.
Prepare shipping reports and monthly KPI metrics for management review.
Support continuous improvement initiatives in logistics processes.

REQUIRED SKILLS & ATTRIBUTES
Technical/professional skills
Strong knowledge of import/export regulations and customs procedures.
Good understanding of Incoterms (EXW, FCA, DAP, DDP, etc.)
Dangerous goods regulations (ADR, IMDG, IATA)
Experience in shipping documentation and international logistics operations.
Proficiency in ERP systems (e.g., SAP, Oracle) and Microsoft Office tools.
Ability to manage multiple shipments, deadlines, and priorities simultaneously.
Cross-functional skills
Strong communication and stakeholder management skills.
High attention to detail and accuracy in documentation.
Effective coordination and collaboration across departments.
Problem-solving mindset with the ability to handle shipment exceptions.
Customer-focused approach with responsiveness to inquiries and issues.
Ability to work in a fast-paced warehouse and logistics environment.
QUALIFICATIONS
Diploma in Logistics, Supply Chain Management, Business Administration, or a related field.
Minimum 5 years of experience in shipping, logistics, or freight coordination.
Experience working with freight forwarders, customs procedures, and trade compliance.
Familiarity with international shipping processes and documentation requirements.
