As our new Project Coordinator, you will join the WEMEA Services Support Team, a shared support function that brings together WEMEA PMO and Resource Management capabilities to support service delivery across the region. In this role, you will work across both functions, providing operational, project, and resource management support to help drive efficient service delivery, effective governance, and optimal resource utilisation. This role offers broad exposure across project operations and workforce planning in a dynamic, regional environment. As the support team continues to evolve, the reporting structure may also develop over time.
Key responsibilities
WEMEA PMO Support (50–70%)
Support project onboarding and administration, ensuring systems, documentation, governance records, and project data are accurately maintained across ServiceNow and related tools
Coordinate PMO governance activities, including meeting scheduling, action tracking, document preparation, and adherence to the SoftwareOne Project Delivery Framework
Monitor project financial and commercial administration by tracking invoices, billing status, sales orders, and project mobilisation activities
Manage shared project and team mailboxes, triaging requests and ensuring actions are routed to the appropriate stakeholders
Prepare reports, trackers, and status updates while driving continuous improvements in PMO processes, data quality, and operational efficiency
Resource Management Support (30–50%)
Maintain visibility of resource capacity, availability, skills, and workforce changes across the region to support effective staffing decisions
Support resource forecasting, demand planning, and allocation activities, partnering with delivery leads and project managers to match resources to business needs
Monitor utilisation, bench time, allocation conflicts, and resourcing risks, escalating issues and supporting resolution where required
Produce resource reports and insights while contributing to the continuous improvement of resource management processes, tools, and data quality
What we need to see from you:
Experience in project coordination, PMO administration, resource management, or a similar operational support role, with exposure to project delivery and commercial processes
Familiarity with project management methodologies and governance frameworks (e.g., Agile, PRINCE2, PMP), combined with flexibility and self-motivation to work across multiple teams in a matrixed regional environment
Proficiency with planning, reporting, financial tracking, and collaboration tools, including Microsoft 365 and Excel; experience with ServiceNow is advantageous
Solid organisational, administrative, and multitasking skills, with the ability to manage multiple priorities, trackers, and deadlines in a fast-paced environment
Analytical skills and the ability to interpret capacity, utilisation, and operational data to support resource planning and business decision-making
Excellent stakeholder management and communication skills, enabling effective collaboration with project managers, delivery teams, and leadership stakeholders
Strong attention to detail, problem-solving abilities, and a continuous improvement mindset focused on process efficiency and data quality
