WHO YOU’LL WORK WITH
You'll join our Office Services team in São Paulo and serve as the first point of contact for clients, candidates, visitors, vendors, and Bain employees. You will work closely with internal teams across the office to ensure a welcoming environment and support the smooth day-to-day operations of one of Bain's busiest locations.
WHERE YOU’LL FIT WITHIN THE TEAM
As a Receptionist, you will play a key role in creating an outstanding experience for everyone who visits our São Paulo office. Combining hospitality, organization, and professionalism, you'll support front desk operations while coordinating a variety of administrative and workplace services activities.
WHAT YOU’LL DO
Welcome clients, candidates, visitors, vendors, and employees with professionalism and exceptional customer service
Manage visitor registration and coordinate building access with security teams
Answer phone calls and emails, directing inquiries to the appropriate contacts
Provide assistance to both Portuguese- and English-speaking visitors
Coordinate meeting room setup, catering, coffee breaks, and logistics for meetings and office events
Manage visitor badges and support office access procedures
Receive, organize, and distribute mail, packages, and deliveries
Coordinate maintenance requests and liaise with external service providers
Maintain reception records, office directories, and distribution lists
Welcome Bain employees visiting from other offices
Ensure reception and common areas remain organized and presentable
Maintain strict confidentiality when handling company information
Provide administrative support to the Office Services team as needed
ABOUT YOU
Must Have:
High school diploma required; technical or bachelor's degree is a plus
Previous experience in reception, customer service, facilities, or administrative support roles
Intermediate to advanced English proficiency, with the ability to communicate confidently with international visitors
Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
Strong communication and interpersonal skills with a hospitality mindset
Excellent organizational skills and attention to detail
Ability to manage multiple priorities while maintaining a professional and welcoming presence
High level of discretion and commitment to confidentiality
Nice to Have:
Experience in professional services, hospitality, or corporate office environments
Additional language skills
WORKING MODEL
This role is an on-site position and requires working in the office Monday through Friday during regular business hours.
