Job Objective:
The Supply Chain Officer supports CAPS Australia’s supply chain operations by coordinating procurement administration, logistics activities, inventory processes, and warehouse support functions. The role ensures the accurate and timely processing of supply chain transactions, effective coordination of freight and logistics, and prompt resolution of operational issues.
Role Scope:
This is a cross-functional role working across supply chain, warehouse, and branch operations. The position works closely with internal stakeholders including supply chain, sales, service, and warehouse teams, as well as external suppliers and freight providers.
Duties and Responsibilities:
Supply Chain Administration & Coordination
Manage document control systems (UMANGO)?? and maintain accurate records
Administer quarantine stock processes and compliance requirements
Manage damage in transit and insurance claims
Investigate shipment and order discrepancies
Process domestic and international freight invoices
Support supplier onboarding and data setup
Maintain and improve supply chain processes and procedures
Assist with stocktakes and inventory accuracy
Logistics & Freight Coordination
Coordinate freight bookings, returns, and transfers
Track freight movements and manage delays
Maintain container tracking (FCL/LCL) data
Organise container deliveries
Source freight quotations
Manage POD requests
Investigate freight issues
Warehouse & Inventory Support
Provide warehouse admin support including picking and receipting
Assist with stock discrepancies and inventory control
Support warehouse organisation and bin locations
Provide relief storeperson support when required
Branch & Administrative Support
Manage incoming and outgoing mail
Maintain stationery supplies
Provide general branch admin support

Supply Chain Manager – for reporting, priorities, issue escalation, and workflow coordination
Supply Chain team – for procurement administration, inventory processes, and supply chain transactions
Warehouse team / Storepersons – for receipting, picking, stock discrepancies, bin locations, and stocktakes
Branch operations / Branch staff – for day-to-day administrative support and coordination of branch activities
Sales team – for order coordination, customer requirements, and resolving shipment/order discrepancies
Service team – for operational support, parts availability, and logistics coordination
Finance / Accounts team – for freight invoice processing, claims, and transaction accuracy
External:
Suppliers / Vendors – for supplier onboarding, data setup, purchase support, and order follow-up
Freight providers / Carriers – for bookings, delivery coordination, POD requests, tracking, and issue resolution
Logistics providers / Transport companies – for domestic and international freight movements, returns, and transfers
Insurance providers – for damage in transit and claims management
Qualifications, Experience, Knowledge, Skills, and Abilities:
Supply chain or logistics experience
ERP system experience (Pronto preferred)
Microsoft Office proficiency
Strong communication and organisation skills
