About the Role
We're hiring an Operations Manager to lead day-to-day execution across staffing, scheduling, event logistics, technology and inventory. The perfect candidate can hold our standard independently, at the level our clients expect, without the Founder enforcing it. Given our size and growth stage, this role will require wearing many hats and flexing into adjacent work as priorities shift.
Responsibilities
Standards, Training & Quality Control
Build and maintain SOPs across kitchen prep, event execution, pack-in/pack-out and service
Implement photo-based and checklist QC protocols for setup, presentation, and breakdown
Own staff presentation standards (incl., grooming, uniform, on-site professionalism) and build training protocols to bring every team member to that standard
Serve as on-site lead at events, holding the team to a standard fit for elite athletes, luxury brands, and high-profile private clients
Staffing & Scheduling
Recruit, onboard and train event and kitchen staff to a highly vetted, polished and discreet standard
Manage the full event calendar and staff schedule, including confirmed shifts one week out and same-day change communication
Administer scheduling through online platform(s)
Technology & Systems
Lead onboarding and rollout of a new CRM platform, including staff training and adoption
Consolidate and streamline the company's technology stack, reducing redundant tools and platforms
Serve as the point person for evaluating and implementing new operational software as the company scales
Event Logistics
Direct pack-in and pack-out for all events, including staging, transport and timing
Coordinate rentals, equipment and vehicle logistics per event
Conduct post-event breakdown, reconciliation and debrief
Inventory & Facilities
Manage kitchen and event inventory, including equipment, smallwares and packaging
Track equipment condition and flag replacement or repair needs
Accountability & Risk Management
Serve as the primary escalation point for day-of staffing conflicts, scheduling errors and event coverage gaps. You will catch problems before they reach the Founder, not after
Hold clear, documented decision authority: define what can be approved independently (day-to-day scheduling, staffing swaps) versus what requires Founder sign-off (new hires, service cancellations, client-facing changes)
Own safety compliance across all service lines, including mobile units
Beyond the Core
Pitch in across adjacent areas (incl., client communication, vendor coordination, special projects) as needed in a small, fast-moving team
Help identify where processes are missing entirely and build them, rather than waiting to be told
Qualifications
REQUIRED - 4+ years managing operations in luxury catering, fine dining or high-volume event production
Demonstrated ability to hold quality standards independently, without direct owner oversight
Comfortable in a small-company, high-growth environment where responsibilities shift and roles aren't rigidly defined
Strong systems-building skills. You are comfortable creating SOPs, training protocols and structure from scratch
Experience with CRM platforms (Total Party Planner a +) and consolidating technology tools; scheduling software and inventory management
Able to work event hours including evenings, weekends and holidays, and to physically manage pack-in/out
Exceptional discretion and professionalism. You are comfortable operating around elite athletes, executives and public figures
Compensation
Benchmarked against Operations Manager roles at comparable luxury event production companies nationwide; base salary commensurate with experience, shared only with qualified candidates.
