We are seeking an experienced and highly organised PA / Project Administrator to provide comprehensive administrative and project support within a busy and fast-paced environment.
This is an excellent opportunity for an individual with exceptional organisational skills, strong attention to detail, and the ability to manage multiple priorities while maintaining a high level of professionalism.
Key Responsibilities
Provide proactive PA and administrative support to senior stakeholders.
Coordinate meetings, diaries, travel arrangements and event logistics.
Prepare agendas, take minutes and track actions.
Support the planning, coordination and administration of projects.
Maintain project documentation, reports and records.
Liaise with internal and external stakeholders professionally and efficiently.
Monitor project timelines and assist with the coordination of key deliverables.
Manage confidential information with discretion.
Assist with financial administration, including purchase orders, invoices and budget tracking where required.
Ensure accurate record keeping and maintain electronic filing systems.
Essential Requirements
Previous PA experience at a senior level within the University of Oxford - applicants without Oxford University experience will not be considered and need not apply
Experience of diary management and managing administrative processes, including making complex travel arrangements.
Experience of organising complex meetings potentially involving overseas participants.
Excellent skills in office IT systems and Microsoft 365 applications, including email, word processing, databases, along with an ability to deal with changing office technologies.
Experience of using financial information systems (e.g. Oracle Financials).
