Position Summary

The Office Manager ensures the smooth, efficient, and professional operation of our Paris boutique. This role is responsible for day-to-day office administration, agent support, property access coordination, front-of-house hospitality, and light technical and bookkeeping tasks.

The role is clerical and coordination-focused, with opportunities to grow into more client-facing responsibilities over time. The Office Manager is often the first point of contact for visitors and plays an essential role in maintaining the elevated standard expected in a luxury real estate environment.

The Office Manager reports directly to the Paris Managing Director and will also take some direction from the U.S. leadership team.

Team Structure

The Office Manager will work closely with:

(Primary) Paris Team: Managing Director / Lead Agent, plus at least two additional Agents, and dedicated Concierge

(As Needed) United States Executive Leadership: CEO, COO, Client Service Executive, Executive Assistant

Key ResponsibilitiesOffice Administration & Operations

Manage daily office operations: opening/closing procedures, upkeep of public office space, meeting spaces, vendor coordination

Monitor and replenish supplies, manage deliveries and courier services

Maintain office equipment; coordinate minor repairs and liaise with vendors and IT support

Organize files, documentation, and shared resources and ensure compliance with internal processes

Support light bookkeeping: vendor invoices, expense tracking, and preparation of documents for the accountant

Front-of-House & Hospitality

Welcome and host clients, partners, and visitors (FR/EN)

Ensure the boutique environment reflects our luxury positioning (presentation, ambiance, cleanliness)

Manage inbound calls, emails, and inquiries with professionalism and discretion

Prepare meeting rooms, refreshments, and printed/digital materials before appointments

Agent & Client Service Support

Assist agents with scheduling property showings, client meetings, notaire appointments, and inspections

Manage and optimize calendars for the Paris team, ensuring smooth coordination with international clients

Prepare property folders, brochures, and marketing materials; maintain digital and physical listings

Support the Client Service Executive with documentation, follow-ups, and client workflow tracking

Staging, prep for photos, renovations, coordination with seller, agent, etc. Maintaining a staging library of items for use.

Property Management Coordination

Support monthly or bimonthly property management checks (caretaking)

Coordinate access, keys, contractor scheduling, cleaning (Opago), and small maintenance needs

Conduct pre-visit checklists to ensure properties meet luxury presentation standards

Maintain logs for inventory, property issues, and vendor contacts

Technical & Digital Tools Support

Provide first-level IT troubleshooting for basic issues (Wi-Fi, printers, video meetings, login questions)

Update Follow Up Boss (FUB), shared drives, property databases, and shared documents

Assist with securing/collecting content for social media or digital platforms (light support, likely photos and videos to be shared with social media manager)

Events & Marketing Assistance

Support planning of small client receptions, in-office events, partner meetings, and property-related gatherings

Coordinate catering, invitations, materials, and logistics

Work Schedule

Full-time (35 hours minimum per French standards)

Core weekday schedule in office, with occasional evenings or weekends based on client events or agent showing needs

Flexibility during high-volume periods is expected in a luxury environment

Required Qualifications

Fluent in both French and English, verbal and written

Proven professional experience in office management, administrative coordination, hospitality, real estate, or a similar support role

Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously

Professional and polished presentation appropriate for a luxury office environment

Excellent communication and interpersonal skills

Comfortable with digital tools: Google Workspace, shared drives, CRM systems (Follow Up Boss), and video conferencing

Discreet, reliable, and able to maintain strict confidentiality

Preferred Qualifications

Hands-on experience in real estate, hospitality, luxury services, or client-facing environments

A degree or additional professional training/education in hospitality, real estate, or luxury services

Familiarity with Paris real estate processes (notaires, showings, vendor coordination)

Light IT troubleshooting experience

Basic understanding of invoices, expense reporting, or administrative bookkeeping

Comfort handling social media or digital listings (simple updates, not full-scale marketing)

Work Authorization Requirements

This position is open only to candidates who already possess legal authorization to work full-time in France. We cannot sponsor a work visa for this role.

Non-EU citizens with a valid French residence permit allowing full-time salaried employment (e.g., “salarié,” “passeport talent,” spouse of French/EU citizen, etc.)
