The Opportunity

The Payroll Coordinator is responsible for maintaining payroll records, calculating wages, and ensuring compliance with all applicable Canadian laws and regulations.

Compliance, Reporting & Record Management

Cross-Functional Collaboration & Support

Projects, Audits & Continuous Improvement

Key Responsibilities

Payroll Processing & Administration

Process bi-weekly payroll for all salaried, hourly, and contracted staff, including wages, overtime, and deductions for a multi-entity multi-site environment

Ensure all payroll-related paperwork (tax forms, benefits deductions, etc.) is accurately completed

Prepare payroll reports and compensation reports; post payroll journal entries in QuickBooks

Compliance Reporting & Record Management

Complete and issue Records of Employment (ROE)in accordance with Service Canada requirements and maintain ROE records

Prepare and reconcile T4s and T4As

Maintain accurate payroll records and ensure compliance with company policies and Canadian legal requirements

Stay updated on changes in payroll laws and regulations to ensure compliance

Cross-Functional Collaboration & Support

Act as the first point of contact for manager inquiries related to payroll

Collaborate with HR and Finance to ensure accurate employee data and payroll processing

Projects, Audits & Continuous Improvement

Support the company with special projects and audits as needed

Other tasks as needed, including training and professional development

Qualifications

Must Have 3-5 years Canadian Payroll Experience with a high-volume environment supporting a large workforce including employees and independent contractors

Must have completed relevant post-secondary education (Accounting diploma or equivalent experience)

Must have experience with end-to-end complex payroll processing in multi-jurisdictions and/or multi-entity organizations in Canada

Payroll certification (PCP and/or CPM) is recommended

Knowledge of ADP is considered an asset

Excellent computer literacy including MS Office skills and other technology including advanced Excel knowledge

Strong administrative/data skills in addition to curiosity, focus, accuracy and ability to work under deadline pressures

Ability to understand and manage responsibilities in a multi-disciplinary environment

Excellent communication and customer service skills

Ability to recognize and respond to problems and find solutions

Ability to work independently and effectively on multiple tasks and projects

Perform professional level tasks requiring independent judgement, initiative and tact

Working knowledge of tax law, labor law and other relevant legislation
