About the role
Role Overview
We are looking for a highly organized and reliable Administrative Support professional to join our team in Italy. This role is essential in ensuring the smooth day-to-day running of the office by providing comprehensive administrative assistance across multiple functions.
The ideal candidate will have at least 5 years of experience, strong multitasking abilities, and fluency in both Italian and English.
Provide general administrative support to the office and management team
Manage calendar scheduling, meeting coordination, and travel arrangements
Handle correspondence (emails, phone calls, letters) in Italian and English
Maintain and organize documents, records, and filing systems (physical and digital)
Support office operations including supplies, vendors, and facility coordination
Assist with invoicing, expense tracking, and basic financial administration
Prepare reports, presentations, and internal communications
Coordinate with internal departments and external stakeholders
Ensure compliance with company policies and local administrative procedures
Experience and Skills
Minimum 5 years of experience in administrative or office support roles
Fluency in Italian and English (written and spoken)
Strong organizational and time-management skills
Excellent attention to detail and problem-solving abilities
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Ability to manage multiple priorities in a fast-paced environment
Strong interpersonal and communication skills
High level of discretion and professionalism
Preferred Qualifications (Nice to Have)
Experience in an international or multicultural environment
Knowledge of basic accounting and administrative processes
Familiarity with office management tools and systems
