Job Description
The Department of Communications and New Media, Faculty of Arts and Social Sciences, is seeking a suitable candidate to join our team as a Temporary Executive (Communications and New Media) .
The incumbent will support the Senior Manager in ensuring the smooth administration and operations of the department. This role requires close coordination with academic staff, students, colleagues, and external stakeholders to maintain high service standards and operational efficiency.
Duties and Responsibilities
The duties and responsibilities of the Temporary Executive include, but are not limited to, the following:
Support procurement processes, including raising purchase requisitions, coordinating with vendors, and processing payments
Assist in coordinating with vendors, speakers, and internal stakeholders to support the smooth delivery of events
Assist in the administration of internal grants, including the CNM Spotlight Grant, such as tracking grant utilisation, processing grant approvals, and coordinating with relevant stakeholders for external grant reporting and audits
Support the research committee in the onboarding of university scholars and guest speakers, in accordance with university policies
Organise research talks and book talks, including the creation of publicity and promotional materials
Assist with website updates and social media posting, including the sharing of corporate social media content created by the candidate
Perform any other duties as assigned by the Admin Lead or his/her designate
Qualifications
At least a Polytechnic diploma, preferably in Business Administration or a related discipline
Demonstrated understanding of finance processes and principles, with the ability to interpret and work with financial data
Excellent command of written and spoken English, with strong attention to grammar, detail, and accuracy
Resourceful, meticulous, and able to work well under tight deadlines
Strong interpersonal and communication skills, with the ability to collaborate effectively with diverse stakeholders
Self-motivated, proactive, and willing to learn
Strong team player with a positive work attitude
Proficient in Adobe Illustrator and Canva
Proficiency in Microsoft Excel, including pivot tables and charts
Experience in digital and social media marketing will be an advantage
