About the job:

This vacancy is within the Business Analysis & Intelligence team, which is responsible for overseeing statistics, data and operational analytics to aid senior decision-making, improving data quality, and strategic and statutory reporting.

The BI Systems Officer will manage the Salesforce system in Dublin Simon and serve as focal point for system support, training and further system development and improvements.

The position involves substantial liaison with staff and volunteers across the organisation to support them to understand and satisfy system usage expectations.

Report to: Senior Specialist Business Analysis Manager

Working hours: Monday to Friday, 9am-5:30pm. 37.5 hours per week, with 25 days of annual leave.

Location: Hybrid: Smithfield, Dublin 7

Contract type: Full-time, permanent

Business Intelligence & Analysis

Develop actionable insights from Business Intelligence and Analysis dashboards, displaying data and analysis in concise, accessible formats that will assist decision-making among senior leadership.

Support the roll-out and integration of Salesforce data into a wider organisational data lake project.

Identify and define new process improvement opportunities and develop proposals for growth of system understanding and use in organisation

System Admin

Increasing efficiency of our Client CRM system (Salesforce)

Working with internal stakeholders to understand their requirements and creating enhancements and/or amendments to workflows and objects in our Salesforce-based CRM

Proactively identifying recurring data quality trends and implementing system controls to mitigate

Serve as the organisational focal point for Salesforce, managing the overall system and supporting function administrators/end users.

Ensure system adheres to established workflows for various service types, while controlling and implementing change management requests from management for the system in a way that also prioritises their information needs.

Ensure licenses, user roles and permission sets and are both set up and maintained accurately and comprehensively.

Filter and “clean” data, review usage reports and performance indicators.

Create and edit reports, dashboards and lists as requested by staff teams.

Liaise with the developer on behalf of the organisation for more complex cases for changes /issues requiring developer support.

Review and disseminate security and software updates, interpreting and communicating how they will impact our system/ users.

Staff Training & Development

Create and update a variety of documentation and training materials, ensuring they are accessible and practical for frontline social care staff

Deliver end-user training on both a 1:1 and group basis.

Communicate future Salesforce releases and enhancements

Maintain and grow personal understanding of system

Contribute to other Business Analysis and Intelligence activities as required by the Senior Business Analysis Manager or Head of Function

Person Specification:

Essential

The ideal candidate will have a qualification in a discipline such as statistics; computer science; information management systems; data analytics etc. OR will have equivalent experience.

Experience with databases and familiarity with cloud-based systems.

An inquiring mind and analytical ability, with strong attention to detail.

Strong organisational skills to prioritise requests and respect internal approval processes.

Proven ability to work with internal and external stakeholders in a constructive and approachable manner.

Passion for technology and the role it plays in communicating information and facilitating learning; desire to develop competencies in systems administration

Resourcefulness and problem-solving aptitude

Excellent communication skills to deliver compliance messages and training to internal stakeholders

Ability to collect, organise, analyse and disseminate significant amounts of information/reports in audience-appropriate formats with attention to detail, accuracy and presentation

Attention to detail and the ability to produce timely and accurate reports under strict deadlines

Strong project management, organizational skills to coordinate work plans, multiple tasks, prioritise work, manage multiple priorities and meet deadlines

Ability to work with internal and external stakeholders in a constructive and approachable manner, collaborating closely colleagues and interacting with colleagues of all levels of seniority across the organisation

A positive and flexible approach to working in a busy, open plan office with site visits to Dublin Simon services

Strong communication skills to deliver compliance messages and training to internal stakeholders

Able to cope with and respond positively to change

Ability to work productively as an individual contributor and collaboratively as a team member

Desirable

Holder of Salesforce Systems Admin certification

Experience working with managed packages and external applications within the Salesforce ecosystem, to support business processes and reporting requirements e.g. Survey Vista/ PDF Butler.

Experience with Power BI or other data visualization tools

Project Management/Quality/Systems/Data Protection qualification

Experience delivering training

Knowledge and experience supporting compliance with data protection legislation (GDPR, Data Protection Act 2018)

Experience of working in the non-profit sector.

Understanding of homeless issues in Ireland.

Familiarity with complete Microsoft Office 365 package
