Job Overview Home Instead Philadelphia is looking for a dependable, organized, and people-centered Service Coordinator to join our team. The Service Coordinator is responsible for coordinating and managing Care Professional (CP) schedules. This role is the heartbeat of daily scheduling, matching the right Care Professional with the right client while helping keep communication clear, timely, and compassionate.
The Service Coordinator will work closely with both the Client Care team and Human Resources department to ensure the highest level of quality and safety in the community.

Responsibilities
As a Service Coordinator, you will help ensure clients receive reliable, high-quality care by coordinating schedules, communicating with Care Professionals and families, and supporting day-to-day service needs.
Responsibilities include:
Create, update, and maintain client and Care Professional (CP) schedules
Match Care Professionals to clients based on availability, skills, location, and client needs
Respond to call-outs, schedule changes, and urgent staffing needs
Communicate clearly with CPs, clients, families, and office team members
Document scheduling updates, conversations, and follow-up items in WellSky
Help identify CP availability gaps and support proactive staffing plans
Partner with the Client Care, Recruiting, Training, Engagement, and On-Call teams
Help maintain a positive experience for clients and Care Professionals
Track and manage CP Paid Time Off
Track and manage employee benefit eligibility
Ensure compliance with state and franchise requirements
Support onboarding by participating in Orientation
Complete and manage unemployment claims, workman’s compensation claims, employment verifications and incident reports
Maintain accurate documentation and record keeping for all necessary areas
Collaborate with client care, human resources, and management team
Provide on-call scheduling support as needed
What We’re Looking For
The ideal candidate is calm under pressure, detail-oriented, and comfortable balancing compassion with urgency. You do not need to know everything on day one, but you should be willing to learn, ask questions, and work as part of a team.
Strong candidates will have:
Scheduling, staffing, customer service, healthcare, home care, or administrative experience
Strong communication and follow-up skills
Comfort using scheduling software, databases, email, and phone systems
Ability to prioritize quickly when plans change
A positive, team-focused attitude
Strong attention to detail and documentation
Respect for older adults, families, and the Care Professionals who support them
Experience with WellSky, Clear Care or home care agency scheduling is a plus
