Job Description
Position Title: Operations Manager
Department: Operations
Report to Director of Operations
Portfolio Focus:
Ensuring a High Level of Service and Operational Excellence across Local Portfolio Job Sites.
Supporting Administrative and Scheduling Tasks
Supporting Technical Equipment at the Ops Level, (Cell Phones, Vehicles, etc)
Supporting Afterhours Dispatchers and Emergency Incidents
Key Responsibilities:
Operational Excellence (60% of Time Spent)
Ensure that all staff follow Guardteck's standards, rules, and policies.
Review Security reports to ensure staff issues are addressed, performance is being met and coaching opportunities are leveraged.
Review Schedules to ensure that all shifts are adequately staffed.
Update WinTeam to ensure accurate logging of hours prior to payroll lockdowns.
Submit payroll discrepancies, vacation requests, reimbursements, and uniform requests for staff as needed.
Conduct performance reviews for staff and provide constructive feedback on their current performance to support their professional growth.
Ensure that eligible employees have their averaging agreements set up.
Daily review all the open shifts on Shiftboard and actively assist the dispatch team in filling them to maintain efficient operations.
Coordinate all key/equipment pick-up or drop-off with the mobile team to ensure seamless transitions.
Proactively contact employees to fill all the open positions to maintain fully staffed operations.
Conduct a meeting with the Account Manager once a week to collaboratively review the portfolio for continuous improvement.
Respond to after-hours emergencies at the static or mobile sites and escalate them to higher-level management if needed to ensure swift resolution.
Conduct regular audits of employees working to ensure their compliance with company policies and standards.
Actively engage in rolling out new contracts and arrange all the necessary tools to ensure that the staff is fully prepared for success.
Attend client meetings if needed to maintain strong communication and relationships with clients.
Provide prompt and comprehensive responses to emails from the Account Manager if they need input or assistance, to ensure smooth operations.
Fleet/Device Management (15% of Time Spent)
Manage Portfolio’s Fleet
Organizing timely maintenance for the vehicles to facilitate smooth operation for the team
Updating all maintenance details on PosiTrace to ensure thorough tracking
Regularly auditing PosiTrace to prevent misuse of the vehicles
Promptly addressing any incidents such as speeding, hard braking, or extended stop durations identified during GPS audits
Verifying the functionality of the dashcams in the vehicles
Conducting random dashcam audits to ensure team adherence to guidelines
Collaborating with the Kandor Fleet Support to report and address fleet issues
Ensuring the full functionality of all mobile devices used by mobile supervisors or at static sites
Actively troubleshoot reported device issues and escalate them to the Technical Services Manager if necessary.
Ad Hoc (25% of Time Spent)
Ensure that all Ad-Hoc requests are effectively logged and adequately staffed on Shiftboard/WinTeam.
If necessary, arrange for Supervisors to visit the new sites to inform and assess the scheduled security officers.
Verify that the shift description aligns with the actual duties at the site.
Keep the Account Manager updated on all recent developments at the site to ensure the client is well-informed.
In the event of extended coverage, proactively recruit permanent staff to minimize turnover and maintain service quality.
Introduce the Lighthouse application based on the specific site requirements. Support dispatch in managing all last-minute book-offs.

Advanced computer skills (Excel, Word, Dayforce, Indeed, ATS and HRIS)
Business or Justice Studies Diploma or a combination of related experience and education.
