About the role
ROLE DESCRIPTION:
1. Employee Lifecycle Management
Onboarding & Employment Administration
Support recruitment operational activities such as candidate sourcing coordination and interview arrangements
Manage end‑to‑end onboarding processes including contract issuance, document verification, medical examination coordination, work pass processing, system setup, and logistics.
Manage operational support for Non‑Traditional Source (NTS) workforce, including coordination of travel and accommodation where applicable.
Probation, Contracts & Exits
Manage probation confirmation processes in partnership with line managers.
Monitor fixed‑term contracts and manage renewals in compliance with local legislation.
2. HR Data & Reporting
Maintain accuracy, integrity, and governance of HR data across systems including SAP SuccessFactors, Sezame, and local HRIS.
Produce timely HR reporting, metrics, and dashboards to enable data‑driven decision‑making.
Participate in HR / HRIS enhancement projects, automation initiatives, and process optimization activities.
Support internal and external HR audits.
3. Engagement
Serve as the first point of contact for employee queries related to HR policies, benefits, and procedures.
Provide accurate and timely responses to employee inquiries.
Support in the mobilization and demobilization of employees for assigned work sites (e.g. ENGIE CV)
4. Benefits Enrolment & disenrollment
Provide new hire information to benefits vendors
Provide leaver information to benefits vendors
5. Other Scope but not limited to below
Prepare and provide necessary documentation for audit reviews (internal and external audit)
Process invoice from suppliers (e.g. medical check, insurance, MOM, flights tickets, etc.)
Prepare verification of employment letter when required/requested
6. Learning Administration:
Registration of company planned courses.
Monitor and maintain HRDF utilisation (MY specific)
Collection of learning needs and prepare the analysis
Update training records in Sezame
ROLE REQUIREMENTS:
Diploma / Bachelor’s degree in Human Resources, Business Administration, or related field
Minimum 3 years of HR Operations experience covering full spectrum
Good interpersonal and consulting skills to interact with multiple stakeholders
Knowledgeable in local employment rules and regulation
