About the role

Provide confidential and efficient administrative support to the Fragile Airways Program and ENT Department, coordinating day-to-day activities, data collection, reporting, minute taking and HR support. Work collaboratively across teams to ensure accurate, timely delivery of administrative services and effective service coordination across WCHN.

Key duties of the role

Provide professional, confidential administrative support focused on patient access, including appointment coordination, booking management, communication and liaison with clinical teams and patients.

Deliver high-quality executive and project support, including minute taking, document preparation, correspondence, reporting and coordination of meetings and administrative workflows.

Manage and maintain data systems and databases using EMR and Microsoft Office tools to ensure accurate data entry, reporting and information management.

Support efficient service delivery through effective time management, prioritisation of workloads and adaptation to changing clinical and operational demands.

Contribute to a positive, safe and collaborative team environment, supporting quality improvement, WHS compliance and continuous service development.

Skills and Experience

Demonstrated experience providing high-level administrative and executive support, including diary management, correspondence, reporting and coordination of activities.

Strong written and verbal communication skills with the ability to engage effectively, negotiate and maintain professional relationships across diverse stakeholders.

Proven ability in minute taking, report and brief writing, and preparation of accurate documentation within required timeframes.

Experience in data management and use of computer systems and software including Word, Excel, Outlook and electronic information systems.

Ability to manage confidential and sensitive information appropriately, with a strong understanding of workplace ethics, WHS, Equal Opportunity and public sector standards.
