Inside Sales Coordinator

Your main tasks and responsibilities include:

Support quotation processes with customers and follow up on RFQs to ensure timely responses and improve customer satisfaction.

Collaborate with internal teams to update and adjust quotations according to customer requirements, cost changes, item modifications, or cancellations.

Process customer orders, including the creation of Order Acknowledgments (OA).

Review and update backlog related to sales orders.

Support Accounts Receivable (AR) follow-up activities by sending payment reminder emails to customers in collaboration with MSMs.

Develop and maintain reports and dashboards using Power BI.

Stamping and management of invoices in Mexico, including:

Create, review, and stamp electronic invoices (CFDI) in the company’s systems when required.

Create and stamp credit notes, ensuring consistency with internal documentation.

Coordinate with internal departments such as sales, service, logistics, and finance.

Maintain accurate records in ERP and technical systems.

Provide general administrative support related to spare parts and technical activities.

What you'll need:

Bachelor’s degree or equivalent experience in Business Administration, International Trade, Logistics, Engineering, or related fields.

At least 5 years of relevant experience.

Experience in industrial equipment and/or paper manufacturing machinery (preferred).

Knowledge of Power BI for reporting and data analysis (preferred).

Knowledge of electronic invoicing CFDI 4.0 and basic fiscal processes in Mexico (preferred).

Strong analytical, organizational, and problem-solving skills.

PC proficiency and ability to manage multiple technical and administrative systems.

Fluent in English; Portuguese is a plus.
