Job Summary

We are seeking a highly organized and detail-oriented Import & Export Documentation Executive to manage end-to-end documentation and coordination for international shipments. The ideal candidate should possess strong knowledge of freight forwarding operations, shipping documentation, customs procedures, and shipment execution.

Key Responsibilities

Prepare, verify, and process import/export documentation including Commercial Invoices, Packing Lists, Shipping Bills, Bills of Lading (BL), Airway Bills (AWB), Delivery Orders, and customs-related documents.

Coordinate with shipping lines, airlines, Customs House Agents (CHA), transporters, and overseas partners to ensure smooth shipment movement.

Ensure compliance with customs regulations, DGFT requirements, and international trade procedures.

Monitor shipment progress and provide timely updates to customers and internal stakeholders.

Handle documentation and operational coordination for sea, air, and road freight shipments.

Maintain accurate records of shipments, invoices, and operational files.

Follow up on shipment status, approvals, document submissions, and customs clearances.

Identify and resolve documentation discrepancies and operational issues efficiently.

Assist with billing coordination and other operational activities as required.

Required Qualifications & Skills

Bachelor's Degree in Commerce, Logistics, Supply Chain Management, or a related field.

1–3 years of experience in Import/Export Documentation, Freight Forwarding, or Logistics Operations.

Good understanding of shipping documentation and customs clearance processes.

Working knowledge of ICEGATE, DGFT, and logistics software will be an added advantage.

Strong communication, coordination, and interpersonal skills.

High attention to detail with the ability to manage multiple tasks under deadlines.

Proficiency in MS Office applications, especially Excel and Outlook.

Preferred Candidate Profile

Prior experience in the freight forwarding, shipping, or logistics industry.

Ability to manage multiple shipments simultaneously.

Strong problem-solving and organizational skills.

Team-oriented approach with a proactive mindset.
