Automotive Compliance Manager (ACM)
Role Overview
We are seeking an organised, detail-oriented and proactive ACM to oversee the administration and operational processes supporting vehicle sales across our dealerships.
This role is responsible for managing the full vehicle lifecycle from vehicle acquisition and registration through to customer delivery, ownership transfer, warranty administration, compliance documentation, stock management and reporting. The successful candidate will work closely with the sales, finance and management teams to ensure vehicles are processed accurately, efficiently and in compliance with all regulatory requirements.
The ideal candidate will be able to clearly demonstrate that they have strong administration skills, excellent attention to detail, the ability to manage multiple deadlines and a thorough understanding of franchised dealership systems and processes.
Key Responsibilities
Vehicle Registration & Compliance
Process all vehicle registrations with relevant authorities.
Complete and maintain registration documentation and VRT records.
Submit VRT top-up requests where required.
Update dealership systems with registration details.
Communicate registration information to sales and vehicle preparation teams.
Maintain records for electric vehicle grant and compliance applications.
File and maintain all vehicle-related documentation accurately.
Vehicle Stock Administration
Process vehicle purchase invoices and bring vehicles into stock.
Update stock records and dealership systems with registration and vehicle information.
Manage internal vehicle order processes.
Attach and maintain relevant vehicle documentation within dealership systems.
Monitor stock movements and maintain accurate vehicle stock records.
Vehicle Ownership Transfers
Process customer ownership transfers.
Manage trade-in vehicle acquisitions and coding procedures.
Ensure all ownership documentation is completed accurately and submitted within required timeframes.
Fleet & Database Management
Maintain National Fleet Database records.
Remove sold vehicles and update stock records.
Add and process trade-in vehicles.
Maintain vehicle lifecycle spreadsheets and reporting tools.
Manage VLC filing and record maintenance.
Warranty, GAP & Service Plan Administration
Set up and administer service plans, GAP insurance and extended warranty policies.
Liaise with sales teams to ensure policy accuracy and appropriate cover levels.
Create and process associated invoices.
Maintain policy registers and administration records.
Process supplier invoices and reconcile records.
Communicate policy information to relevant stakeholders.
SEAI & Grant Administration
Manage electric vehicle grant documentation and applications.
Ensure completion forms and supporting documents are received and submitted.
Upload required documentation to external portals.
Maintain compliance records and audit trails.
Vehicle Tax Administration
Manage motor tax requirements for company vehicles.
Process vehicle taxation as required.
Ensure compliance with taxation deadlines and requirements.
Reporting & Analysis
Produce weekly stock and margin reports.
Maintain vehicle profitability and performance reports.
Complete vehicle margin calculations.
Support month-end reporting and dealership close-out processes.
Provide operational reporting to management as required.
Systems & Process Management
Maintain accurate records across all dealership management systems.
Ensure data integrity across operational databases and reporting platforms.
Identify opportunities to improve administrative efficiency and process effectiveness.
Support continuous improvement initiatives within dealership operations.
Skills & Experience
Essential
Previous experience in the Irish motor industry at administration / accounts level.
Strong organisational and time management skills.
High level of accuracy and attention to detail.
Excellent communication and interpersonal skills.
Strong Microsoft Excel and reporting capabilities.
Ability to manage multiple priorities and deadlines.
Experience working with dealership management systems.
Desirable
Knowledge of VRT processes and vehicle registrations.
Experience with Motortrans, Autoflow/Autoview or similar dealer management systems.
Warranty, GAP and service plan administration experience.
Understanding of vehicle compliance and regulatory requirements.
Experience preparing management reports and margin analysis.

Compliance documentation fully maintained.

Pay: €35,000.00-€42,000.00 per year
