We're looking for a systems-minded operator. Someone who can own the operational backbone of a fast-growing digital marketing agency, keep client delivery running on time and at standard, and continuously improve the workflows that make it all possible. You'll work directly with the COO to manage cross-functional execution across client accounts and internal projects, leveraging tools like ClickUp, GoHighLevel, and AI to do it efficiently.

This is a high-ownership, process-driven role. You'll build and optimize the systems that others work within. Structure, accountability, and the ability to identify problems before they become fires are crucial skills to succeed in this role.

This position is structured as a 3-month contract with the potential to transition into a permanent full-time role, contingent on performance and business needs at the end of the contract period.

Core Responsibilities

Own day-to-day service delivery across all active client accounts, ensuring tasks are clearly assigned, on track, and delivered on time and at standard

Oversee client workflow pipelines from onboarding through ongoing delivery, coordinating across account managers, strategists, and the creative team

Build and continuously improve operational systems within ClickUp and GoHighLevel, including task templates, automations, dashboards, and scalable workflow structures

Forecast and manage team capacity week over week, proactively identifying overallocation or workload gaps before delivery is impacted

Leverage AI tools to streamline documentation, improve workflows, and increase operational output

Qualifications

Fluent English proficiency (mandatory): all team communication, client documentation, and reporting is conducted in English

3+ years of project management experience, with at least 2 years in a digital marketing or creative agency environment

Advanced, hands-on experience with both ClickUp and GoHighLevel: able to independently build workflow structures, automations, dashboards, and onboarding templates in both platforms

AI-driven operator with demonstrated use of tools in a professional context

High autonomy, strong written communication, and proven ability to manage multiple concurrent projects without losing organization or missing deadlines
