About Us: We're a dynamic Real Estate Team dedicated to providing exceptional service to our clients in Simcoe County and surrounding areas. Our team is known for its professionalism, expertise in staging and commitment to exceeding client expectations. As part of our continued growth, we are seeking a Real Estate Assistant to join our team and contribute to our success.
Responsibilities:
Administrative Support: Provide comprehensive administrative support to our team, including preparing Real Estate documents and contracts, answering phones and managing mail. Assist in on-boarding new team members, providing guidance on office procedures and tools.
Transaction Coordination: Assist in the preparation of real estate transactions, ensuring all necessary documents are complete, accurate, and submitted on time. Work closely with agents and clients to facilitate a smooth and efficient listing to closing process.
Client Communication: Act as a point of contact for clients, responding to inquiries and providing timely and clear communication regarding property transactions, showings and open houses. Assist in managing client databases and ensuring accurate and up-to-date client information.
Marketing Support: Create and implement marketing for property listings. Assist in ensuring marketing materials, including brochures, social media, and online listings are up to date and available for team.
Financial Recordkeeping: Support financial activities by assisting with invoicing, expense tracking, and managing records in systems that are already set up. Collaborate with the team's financial advisor as needed.
Qualifications:
Previous experience as a Real Estate Assistant or in a similar administrative role.
Strong organizational abilities to manage multiple tasks and deadlines.
Attention to detail in document preparation and transaction coordination.
Must have familiarity with real estate software and tools, including CRM systems, Realm/Matrix, WebForms, Skyslope, BrokerBay
Excellent communication and interpersonal skills.
Proficient in Microsoft Office Suite, Canva, ChatGPT preferred
