About the Role
Aeiforia Architects is looking for a proactive and detail-oriented Procurement Executive to manage vendor sourcing, procurement operations, supplier relationships, annual rate contracts, and material purchasing for architectural, interior, and construction projects.
Key ResponsibilitiesVendor Management & Onboarding
Develop and maintain a strong database of vendors, suppliers, and contractors.
Ensure a minimum of three qualified vendors for each material and service category.
Conduct vendor verification and onboarding processes.
Collect and maintain statutory documents including GST, PAN, bank details, and compliance certifications.
Build strong relationships with vendor decision-makers and key contacts.
Procurement & Sourcing
Source quotations and negotiate competitive pricing.
Prepare comparative statements and cost analyses for management approval.
Break project BOQs into procurement packages and obtain market rates.
Coordinate procurement activities for interior, architectural, and construction projects.
Ensure timely procurement of materials and services during project execution.
Annual Rate Contracts (ARC)
Analyze procurement data and spending trends.
Assist in developing and managing Annual Rate Contracts with key suppliers.
Maintain updated pricing records and supplier agreements.
Purchase Order Coordination
Coordinate with project, accounts, and operations teams for procurement requirements.
Review purchase orders for accuracy and compliance before issuance.
Track order status, deliveries, and vendor commitments.
Vendor Performance & Feedback
Maintain vendor performance records and rating systems.
Collect feedback regarding quality, pricing, responsiveness, and service levels.
Identify and onboard new vendors through regular market research and meetings.
Support vendor relationship development initiatives.
Payment & Coordination
Follow up with internal teams to ensure vendor payments are processed within agreed timelines.
Resolve procurement-related issues and vendor concerns efficiently.
Key Performance Indicators (KPIs)
Vendor database strength and coverage.
Number of new vendors identified and onboarded.
Quality and completeness of vendor documentation.
Speed and accuracy of quotation comparisons and procurement reports.
Procurement turnaround time during project execution.
Vendor satisfaction and relationship management.
Successful implementation of Annual Rate Contracts.
Procurement cost optimization and savings initiatives.
Education & Qualifications
Diploma or Bachelor's Degree in Civil Engineering.
Minimum 2 years of procurement experience in Interior, Architecture, Construction, or Fit-Out projects.
Strong negotiation and vendor management skills.
Ability to understand BOQs, material specifications, and project requirements.
Proficiency in MS Excel and procurement documentation.
Strong communication and coordination abilities.
