Operations Manager (Hybrid)
Position Summary
We are seeking an experienced Operations Manager to join our growing ABA organization. Reporting directly to the Director of Operations, this role is responsible for overseeing payroll administration, compliance monitoring, operational auditing, and administrative team support across multiple service locations.
The ideal candidate is highly organized, detail-oriented, and experienced in managing payroll processes, ensuring regulatory compliance, and supervising administrative staff in a fast-paced healthcare or behavioral health environment.
Key Responsibilities
Payroll & Workforce Management
Oversee and audit bi-weekly payroll for clinical and administrative employees
Review timesheets, attendance records, mileage submissions, and scheduling discrepancies
Ensure payroll accuracy and compliance with applicable labor laws and company policies
Partner with HR regarding employee onboarding, status changes, leaves of absence, and terminations
Respond to payroll-related inquiries and resolve discrepancies in a timely manner
Compliance & Operational Auditing
Monitor employee credentialing requirements, including certifications, trainings, and compliance documentation
Conduct routine audits of payroll, scheduling, and operational records
Ensure compliance with company policies, payer requirements, and state regulations
Identify operational risks and collaborate with Human Resources.
Maintain organized records and support internal and external audits
Leadership & Operations Support
Supervise and support administrative team members
Collaborate with clinical, scheduling, and leadership teams to improve operational efficiency
Track and report key performance indicators related to payroll, attendance, staffing, and compliance
Assist with implementation of operational processes and workflow improvements
Support organizational growth and multi-site operations as needed
Qualifications
Bachelor's degree preferred in Business Administration, Healthcare Administration, Human Resources, or a related field
Minimum 2 years of experience in operations management, payroll administration, compliance, or healthcare administration
Experience in ABA, behavioral health, or healthcare strongly preferred
Prior supervisory or team leadership experience required
Strong understanding of payroll systems, labor law compliance, and operational auditing
Proficiency in Microsoft Excel and Google Workspace
Excellent organizational, analytical, and communication skills
Ability to manage confidential information with professionalism and discretion
Schedule & Work Environment
Full-Time, Hybrid Position
Monday–Friday
Occasional travel between service locations may be required
Compensation
$70,000–$75,000 annually, depending on experience
